Summary

AbelsonTaylor is a marketing communications agency that specializes in brands that help people live healthier lives. We are seeking an Associate Project Manager to join our team. A Project Coordinator is an entry level position within the Project Management Department that oversees the job routing process, including acting as the routing gatekeeper, providing support in tracking and reporting at a project level, including managing the Workfront Proof System for specific project inputs working with their PM. They work with the Senior/Project Manager (S/PM) in identifying project-related issues, requests, and project communication to the internal teams, including daily updates. Their primary responsibility includes ensuring project submissions are completed with appropriate specifications and ensuring quality control of these submissions.

What You’ll Do

• Manages the internal routing and approval process ensuring jobs stay on track and elevating any work breakdowns on an as-needed basis
• Works with Project Manager to manage day-to-day operational aspects of the job
• Ability to gain competency in agency software system (Workamajig) and digital routing software system (Workfront Proof). In-depth training will be provided for both systems
• Opens projects and populates digital routing software system with necessary project information
• Proactively guides projects through the digital routing system and processes, working closely and collaboratively with cross-functional team members
• Coordinates all internal project-related meetings including regular work progress meetings and internal reviews. Proactively keeps S/PM aware of any coordination or scheduling issues
• Supports their S/PM on internal communication including documenting next steps, action items, and verbal and written project-related communication to all internal parties responsible for the project
• Creates and maintains the daily and weekly status reports. Leads daily and weekly internal status meetings
• Helps identify solutions for project contingencies and reassesses project planning needs
• Organizes and catalogues all major assets at the end of a project, in compliance with the Project Close-Out Process
• Supports S/PM with delegated responsibilities on an as-needed basis (such as financial reporting and tracking as requested or needed)
• Provides insights and recommendations on process improvements
• Accepts responsibility for tracking and adhering to AbelsonTaylor’s PTO and all Human Resource policies
• All other duties as assigned
