One full-time Office Receptionist / Scheduling Coordinator candidate will be considered for this position.

RESPONSIBILITIES

• ability to multitask multiple job assignments with real time completion expectations & crew work order assignments
• Coordinates & Schedule Semi-annual / 6 month & 12 month / annual HVAC system maintenance services, the month before service is due, to maintain manufacture warranties.
• Complete permit applications, schedule inspections, conduct follow up for inspection(s) closeout / completion, compile permit reports by month for completion reviews, scheduling corrective action follow up appointments for permits that fail initial inspection, & rescheduling permit inspections for second inspector assessment (as necessary).
• Offer courteous & professional customer service to clients & guests. Confident in skills to successfully communicate stock item number(s) and perform cross verification is a match for desired inventory items.
• Answer phones, manage appointments, create / update (audit) customer contact info/profile information for current HVAC system, billing, & statistical data / information, contact customers to schedule maintenance service appointments for 6 month and 12 month / annual service, reply to e-mail and maintain proper communication with clients, visitors, and members of the trade.
• Coordinates & Dispatch field technicians as scheduled and in response to emergency work orders.
• Communicating / dispatch, en route status, arrival, work completion, invoice payment collection, and additional technician activities.
• Log status of services work orders and contact clients with updates, as needed.
• Review work order information to ensure documentation of work performed, materials used, and labor hours needed (track all associated costs) are properly documented and ready to be invoiced, ensure payment collection by technician occurs, and review / closeout completed work orders
• Maintain Office tidiness & presentation.
• Assist sales & management team with other administrative needs.
• Assist to facilitate social media management & on-line chat communication, as needed.
• Miscellaneous & other office related assignments, as needed.

QUALIFICATIONS Must be at least 18 years of age with a high school diploma or GED Must be authorized to work in US Must be hospitable & able to follow directives / procedures.

• Must have comparable professional experience (preferred minimum of 1 year) in administrative assistant / receptionist or related field experience
• Must have competent to strong computing abilities, data entry, & word processing.
• Preferred consideration for on-line skills, Quickbooks, social media management, Microsoft Office, & or web-design / website maintenance skills, & Smart device technology proficiency.
• Drug Free Workplace- Screening at time of hire, annually, and random intervals.

HOURS & COMPENSATION Open Hourly / Salary Wage (based on experience) plus overtime, if applicable In addition to wage & overtime pay, commissions & bonuses available.
