Alexander James Looking for Programme coordinator at Wellington, Wellington Region, New Zealand Full Time

The purpose of the role is to support the successful delivery of a large programme of work through the provision of project coordination, governance secretariat and work programme planning and tracking. You will work closely with the Programme team and the wider team. You will also be responsible for providing project, logistical, administrative, and general coordinator support for the programme as well as the wider Data and Insights Directorate.

What You Need

Technical Expertise:

• Manage the project plan, reviewing the plans regularly to ensure tasks and milestones are being achieved in a timely manner. Follow up on any actions, addressing any challenges and escalate issues to the Project Lead where necessary.
• Maintaining budget, forecast, and tracking expenditures/transactions and ensuring budgetary and financial management policies and processes are followed.
• Support the programme team in achieving project outcomes by establishing standards, tools and procedures including actions register, stakeholder matrix and information management.
• Undertake other tasks as directed by the Project Lead from time to time as agreed.

Results Orientation and Delivery:

• Responsibility to produce assigned outputs, products and services and independently plan and manage workload.
• Ensuring reporting is accurate, up to date and timely for the variety of governance requirements.
• Employ best practice project and development methodologies ensuring the early identification and resolution of issues affecting project delivery.

Relationship Management:

• Develop and maintain key relationships both internally and externally to advance the directorates objectives.
• Identify and liaise with project stakeholders on an on-going basis.
• Present to Ministry senior stakeholders on a range of programme coordination explaining and justifying decisions made at all stages processes.

Skills And Experience

• Project coordination experience in a formal project environment and in supporting multiple priorities and projects in different phases from start-up through to delivery.
• Knowledge and experience in a recognised project management methodology.
• Knowledge of budgeting, bookkeeping, and financial reporting.
• Experience developing and implementing programme planning, monitoring, and reporting.
• High degree of computer literacy, including intermediate knowledge of email software, MS Word, PowerPoint, Excel, MS Visio, and in project management tools such as JIRA, MS Project and DevOps.
• Excellent attention to detail, time management, and planning skills.
• Strong written and verbal communication skills.
• Excellent collaboration, communication, and relationship management skills. The ability to work in and as a member of a team and present self in a professional light.
