Ampol Limited Hiring For Administration Specialist at Singapore Full Time

Primary Purpose of the Position

The position will play two key roles for Ampol’s Trading & Shipping operations:

• Analytics: We utilise a range of data subscription services to support our analytics and trading functions. The role enables the efficient management of these services across service provider interaction and internal account management – procurement administration, user management, cost tracking and contract renewal.

• Cargo Ops. We undertake cargo operations to supply cruide and products to our global customer base. The role enables management of original contract recordkeeping.

Critical Accountabilities & Outcomes

Subscription management

• Support the Analysis Manager in managing subscriptions for Trading and Shipping and Ampol Group, in accordance with Ampol procurement policies
• Maintain tracker for subscriptions including users list, renewal dates, budget vs actuals, cost centres and payments.
• Receive subscription invoices and submit for payment, liaising with Accounts Payable team to ensure payments are made on time
• Support contract execution and filing of executed contracts
• Support the Analysis Manager in cost allocation proposals and approvals across Ampol Group entities in relation to shared subscription services
• Review subscription requirements for new joiners and terminate subscriptions for leavers, manage changes to users list and liaise with subscription vendors to execute changes.

Operations administration

• Receive and update original bills of lading from counterparties
• Perform data entry for both shipping ops and cargo ops

Stakeholder management and continuous improvement

• Relationships with subscription service providers
• Engage with the Analysis Manager, Trading Managers, Traders and Commercial Analysts to track critical assessments of Ampol’s subscription services to support periodic reviews and selection / renewal decisions
• Engage with Cargo Ops for effective management and recordkeeping of original documents
• Contribute and perform duties as may be reasonably required by the company from time to time

Qualification

• Certificate or tertiary qualification

Experience

• Relevant business or administration experience
