We are seeking a highly motivated, detail oriented, and experienced Executive/Personal Assistant to join their team, reporting to the Principals. The candidate will be meticulous with detail and have strengths in writing, grammar and punctuation. The role•s primary responsibilities will be managing the schedule and communication of the CEO. Successful candidates will have a degree, 5+ years of executive/personal assistance experience, entrepreneurial-minded approach to business, stable work history and excellent computer skills.
JOB RESPONSIBILITIES:

Keeping executives organized
Work with and keep constant communication with client•s representatives, business partners
Answering phones and screening calls
Calendar management – Schedules meetings and conference calls
Coordinates onsite meetings, luncheons, coffees, and in-house events
Note taking during meetings
Sending out agendas
Setting up processes and checklist for repetitive tasks
Preparing letters and email correspondence and editing letters, documents, emails, proposals, and ensures a follow up with those that require answers, responses, and written replies
Assisting with contracts and agreements (track changes)
Assisting with project management and organization
Online and physical document filing
Office management- supplies, kitchen organization and stocking
Managing Travel – international and domestic travel ranging from air, auto and hotel reservations to passport and visa applications
Expense Reports (tracking and creating expense reports)
Greets and checks-in clients and other guests for meetings and events
Coordinates and manages vendors and contractors for the office
Maintains confidential files and honors the integrity of all information
Assistance with personal matters from time to time
Managing service providers for personal home
Managing meal service subscriptions
QUALIFICATIONS AND REQUIREMENTS:
Bachelor•s degree strongly preferred.
Five years minimum relevant work experience.
Experience with executive administrative support.
Demonstrated high proficiency in MS-Teams, MS-Word, Outlook, Excel, and PowerPoint; excellent command of the English language, including spelling, grammar, punctuation, and business writing.
Professional, personable, tactful, efficient, and self-motivated.
Strong interpersonal skills and sense of teamwork valued.
Strong organizational skills, multitasking, accuracy, service-minded, and meticulous adherence to details required
Entrepreneurial-minded approach to business; small/midsize company experience preferred
Strong written and verbal communications skills.
