In this position you will provide administrative support necessary for the smooth and efficient operation of activities within the APS Engineering Support (AES) Division. As an Executive Assistant, you will perform a variety of administrative activities and tasks. Assignments may include researching, compiling, tracking, and analyzing data and information from multiple sources. You will be responsible for organizing, coordinating and scheduling meetings, preparing travel arrangements, preparing correspondence and reports, purchasing supplies, filing, coordinating procurement packages, and coordinating calendars.
The Executive Assistant will utilize various types of software to compile
and generate reports, spreadsheets, statistics, timelines, tables,
graphs, correspondence and presentations.
It is expected that you will recommend processes to enhance workflows and provide data and information to others on functional unit processes and procedures.
Position Requirements
High school Diploma and 10+ years of related experience or equivalent.
Knowledge of office practices, record keeping, and skill in both written and oral communications.
Skill in handling arrangements and details of foreign and domestic travel and conferences.
Skill in organizing a variety of tasks and work assignments in order to meet deadlines.
Skill in communication with managers and potential users of the APS.
Skill in typing technical reports and correspondence using word processing software/systems and office machines.
Skill in interaction with divisional appointments and meetings, and in the operation of a PC with database and graphics software packages.
Knowledge of proper Web page structure and layout.
