Job description
We are looking for a community-minded individual to fill our Admin and Programming role at the Arts Building. The position is primarily done from home and includes the following duties:
Programming & Instructor Liaison
-Maintain calendar of events by responding to inquiries and reaching out to local artists, teachers etc. through email, newsletter, and social media
-Program arts classes for a variety of ages and media; reach out to new instructors and maintain variety of offerings. Communicate with Board (Daniel) for assistance with programming.
-Send interested instructors building details and required info for advertising
-It’s good to have about at least 1.5 – 2 months of advertising
-Meet new instructors to go over the building
-Create FB Event Page and Post to advertise classes
-Create and maintain google spreadsheet of registrations
-Send out reminder to all registered students 4 days before a class
-Request cheque from treasurer for 70% of instructor income
-Mail cheques (ask for mailing address) or leave cheque for instructor at the Arts Building
Rentals
-Respond to inquiries for rentals
-Advertise rentals available on website and social media
-Add rental hours to calendar
Promotions Advertising
-Send out Newsletter through Mailchimp approximately twice a month
-Share website event page on Facebook & Instagram
-Add classes to the Coast Cultural Alliance events calendar by filling out form
-Make fliers/posters for upcoming classes and put them up on the door, in lower G, and at coffee shops. (Helps to do a few classes at a time or do “Upcoming” and a list so you don’t have so much postering to do.
-Maintain exterior chalk board with upcoming classes and events
Admin
-Attend Board of Director meetings to provide communication on art classes
-Email appropriate Director with questions/invoices for HCCS, such as the Town of Gibsons, website renewal, internet invoices etc.
-Make sure class registration lists get updated after all payments are in and download pdf version of it for records.
– Regularly check the Arts Building mail box and collect payments for classes & rentals
-Occasionally check PO mailbox across the street (post office box # on key in drawer)
-Update class list spreadsheets in google drives
-Record payments on Deposit Details Excel sheets, and bank deposit book and put on Google Drive
-Make bank deposits regularly
-Transfer funds from PayPal to bank account
-Track rentals on google spreadsheet and put on Google Drive
-Track donations & special event income on google spreadsheet and put on Google Drive
– Track Little Hands income on google spreadsheet and put on Google Drive
– Track your expenses on google spreadsheet and put on Google Drive
-Invoice for monthly hours
-Invoice for monthly expenses
-At the end of the month (by first week of following month) download deposit and expense pdf’s and send updated files to Kelly our bookkeeper
Note.-This is a part-time position ( 15-24 hours per Month)
Job Type: Part-time
Salary: $20.00 per hour
Part-time hours: 4-6 per week
Expected start date: 2021-10-04
