This position is the intermediate level of a three-tier laddering system designed to enable employees to move upwards to higher job classification levels, once the critical competencies (duties, responsibilities, processing objectives) are demonstrated to be learned.
Consistent with the policies of the University and the objectives and priorities of the Office of the Registrar, the incumbent will:
Provide efficient and effective service to AU learners (including Collaborative related) and external partners while ensuring the integrity of the processes related to Enrolment Services and Academic Records.
Efficiently assess and process all functions related to Enrolment Services and Academic Records.
Resolve client inquiries that are within policies and procedures related to Enrolment Services and Academic Record functions.
Serve as a resource person about Enrolment Services and Academic Records related services and policies for the Office of the Registrar and the University community.
The major responsibilities include being able to perform the tasks described in the Junior Enrolment Services Assistant position, and will include the processing of incoming General Applications, Incoming Transcripts, Course Registration Requests, Extension Requests and Withdrawal Requests (including collaborative related), Change of Information Requests, Final Grade Reports, Outgoing Transcripts, Employment Verifications, Lawyer Letters, and Mail. The incumbent will effectively address all incoming correspondence, telephone, e-mail, or walk in inquires to the Enrolment Services Unit, Office of the Registrar in accordance with University policy.
Qualifications:
Grade XII education supplemented with 3 years of increasingly responsible clerical experience in an educational environment, preferably in a Registrar’s Office. An equivalent combination of education and experience will be considered. Staff that has laddered upwards through the Junior Enrolment Services Assistant position may also be considered for the Intermediate Enrolment Services Assistant position.
Extensive knowledge of the AU calendar, policies and procedures.
Excellent interpersonal, communication, organizational and time management skills.
Thorough investigative and problem solving skills.
Ability to work independently with minimal supervision.
Working knowledge of data entry and retrieval operations in a computerized information system.
Ability to work effectively under pressure and set own priorities.
Ability to differentiate between information, advising and counselling. (Must be able to assess client’s situation and own ability to deal with it.)
Ability to use electronic mail.
