General Description:
To provide support to the Project Managers and Equipment Maintenance Department in the execution of field work and completion of responsibilities in all areas related to coordinating supporting field projects.
Education, Certifications, Licenses & Registrations:
Associates degree or equivalent work experience.
Specialized Knowledge and Skills:
2+ year’s prior administrative experience working in a construction or heavy industrial environment preferred
Must have the following computer skills (Excel , MS Word, Database Management (MS Access) and ideally MS Project)
Meticulous Follow-up / Organizational skills
Able to interface and work as a member of a team.
Ability to quickly evaluate situations and set priorities.
Able to work a variety of hours including overtime depending on workload and outages seasons.
High level of proactiveness
Ability to perform responsibilities maintaining dependability, reliability, thoroughness, accuracy, confidentiality and timeliness.
Ability to work independently.
Must perform well under pressure and meet deadlines.
Must present a positive and professional image.
Must be highly confidential.
Excellent communication skills both written and verbal with the ability to interact with field and in-house personnel.
Extreme attention to detail.
Ability to prioritize and manage multiple projects simultaneously.
Must possess a sense of urgency.
Essential Duties:
Maintain Project Electronic/Hardcopy File Database which includes
Proposals
Purchase Orders
Equipment Reconciliations
Asset Management
Contact information
Project job files and job completion forms
Interface with internal WSI departments (i.e.: logistics, QA/QC, purchasing, manning and accounting) to assist in project planning and execution
Assists the Project Manager with the performance of his duties
Compile information required for project performance and status reports.
Responsible for maintaining extreme confidentiality and for managing time sensitive materials related to staff personal information.
Will work extensively with travel department and logistics department for coordination of field projects for completing required safety training and background checks.
Maintain AZZ | WSI proprietary program updating all required information for projects and purchase order information (SOMS) administer and/or SalesForce.com and Oracle.
Will be the alternate contact/liaison between field personnel and project manager
Will be responsible for assisting with issues relating to project files and coordination
Other duties as assigned
