Aministrative Assistant – (2202444) – Sparks, GA

Where the Chemistry Happens

We are seeking for a professional to support the Site Director, Site Leadership Team, and Supply Chain planners with various administrative activities.

Formula for Success

Collects information and assembles various site management reports/presentations. Assemble monthly site Safety/Quality Meeting presentation, ELT Sparks Site monthly update presentation. Monthly reports: JSA’s, Action Item Extension, NCM’s Charts, CBT Report. Assemble and publish weekly & daily reports: Safe Work Permits (daily), DP Log (file daily sheets), Action Tracker, MOC’s AIMS Report, Hazard Conditions, NCM’s & NCM’s Y1, Guardsmark reports, Bilfinger daily log, mail, ordering office supplies. Processing of invoices and records filing. Verification of all needed documentation for waste invoices and maintaining waste shipment files, coding invoices with the correct general ledger account number and cost center. Issue PO’s as requested. Obtaining Sales Tax Certification, Identification Number Certification and W-9 forms for new vendors. Manage and make approved/budgeted donations and advertisement expenses. Place orders/purchases as approved/requested and serve as site P-Card Coordinator. Manage inventory of office supplies. Arrangements for various company meetings/visitors and general support of Site Director and SLT. Back-up for payroll. Inter-site mail and post various items throughout site as directed.

Ingredients for Success: What We Look For in You…

Education

High School Degree, Associate degree preferred.

Experience

5 years of experience in an administrative assistant type role or similar relevant experience.

Knowledge/Skills

Demonstrated proficiency in Microsoft Office Applications (Outlook, Word, Excel, PowerPoint) Ability to learn SAP Ability to manage multiple tasks in an efficient manner. Excellent written and verbal communication skills. Ability to work in a team environment across multiple departments. Demonstrated experience and competency handling confidential information. Ability to manage budgets and maintain regulatory required records/files. Strong organizational skills, self motivation, and team effectiveness. Must have good interpersonal skills and be able to shift priorities to meet deadlines.
