JOB DESCRIPTION
Duties:
The successful candidate will:
- Support the Chief Accounting Officer (CAO) and the Controller, and act independently with a
high level of confidentiality, judgment, discretion, initiative and business acumen. The primary
support will be to the CAO for approximately 75% of your time and the remainder of the role will
be supporting our Controller.
- Manage correspondence, calendar and mail (regular and electronic) for the CAO and the
Controller, ensuring that all items are prioritized and dealt with in a timely manner.
- Inform the CAO and Controller of deadlines/action items and may be required to draft replies to
action items/correspondence. Maintain a “Bring Forward” system to ensure all deadlines are met.
- Direct incoming inquiries as appropriate and ensure responses are completed in a timely manner
in accordance with relevant deadlines.
- Maintain the CAO and Controller’s files and provide backup materials prior to all meetings
including the retrieval of materials and the drafting and distribution of agendas.
- Type and edit memos, reports, letters and presentation slides (some from draft format, some
required to draft on own).
- Make occasional travel arrangements including coordinating and integrating conflicting
schedules.
- Administer various financial functions (e.g. invoices, expense claims, purchase orders,
purchasing of stationary and/or office equipment, Travel Cost, Budget Variance Reports).
- Maintain various administrative records (e.g. travel approvals, office procedures, government
updates).
- Schedule, coordinate, prepare agendas, arrange for outside speakers and guests for meetings.
- Coordinate the flow of information and materials between the CAO, the Controller and the direct
reports. Work with direct reports to coordinate meetings / discussions as well as the flow of
documents to and from the CAO and Controller for approval.
- Communicate and coordinate activities with the office of the CFO.
- Coordinate submissions to the meetings for the Board of Directors and the Executive Team.
- Assist with communication initiatives.
- Participate in the planning and implementation of administrative systems.
- Provide information on office procedures, coaching to other administrative staff within the group
and assistance to the broader Finance team on an ad-hoc basis as required or as time permits.
Qualifications:
- Post-secondary education plus a minimum of five years of senior level administrative experience
within a corporate environment performing a range of diverse duties involving material of a higher
confidential and sensitive nature.
- We may consider those with an equivalent combination of education, training and experience.
- Ability to communicate effectively and in a highly professional manner with an extensive network
of individuals: senior level government officials, senior executives, senior level business leaders
and colleagues.
- High level of interpersonal and communications skills, both verbal and written, including tact and
diplomacy.
- Excellent knowledge and experience with Microsoft Outlook (including email and calendar) and
Microsoft Office (Word, Excel and PowerPoint)
- Ability to make own judgments and decisions within prescribed guidelines; strong organizational
skills with exceptional attention to detail.
- Ability to work as a team leader by providing leadership and guidance to other positions within
the business unit.
- Ability to promote and encourage a positive team atmosphere and maintain professional working
relationships with all levels of staff and management within BC Hydro and external organizations.
- Well-developed knowledge and understanding of senior leadership functions and responsibilities.
- Ability to work independently in a busy environment with conflicting priorities and deadlines with
the ability to prioritize multiple projects.
- Excellent knowledge of office practices, procedures and routines.
- Experience with SharePoint, Passport, SAP and OneNote would be an asset.
- Knowledge of BC Hydro and its operations would be an asset.
ADDITIONAL INFORMATION
- The successful candidate will work from the Dunsmuir headquarters (downtown Vancouver) and
may be required to work at the Edmonds office (Burnaby) from time to time.
- This is a AA2 Full-Time Regular (FTR) opportunity with the team.
- Please note this role is classified as a Hybrid role under our new BC Hydro flexible work model,
which currently includes a mix of working from home and working in the office. At present, this role
(and Finance team members) are expected to work in the office a minimum of two days per week
however at times it could be more frequent due to operational requirements and does require
flexibility. This Hybrid model may change over time.

Flexible work model role definitions
===========================
Our four role types identify the degree of flexibility an employee could have to work from home
based on the type of work they do. The flexibility for an individual job is up to the manager for
each position and the operational requirements. Employees also have the right to work full-time
from the office if they prefer. All of our roles require at least some in-person time.
IBEW/Field – No option to work from home
Resident – Works primarily (4+ days per week) in the office.
Hybrid – May be able to work from home up to 3 days per week.
Remote – Works from home 4+ days per week
