Our client, a prominent Private Equity Fund, is seeking to hire an Executive Assistant to join their growing team on a Temp To Hire basis. This is a hybrid role working in the Client Relations and Capital Raising team (previously known as the Investor Relations team). The firm offers a unique opportunity to work in an international, professional, supportive and challenging business environment. You will also be joining other New York team members who work in a highly collaborative dynamic team. This firm requires all employees to be fully vaccinated.

RESPONSIBILITIES

• Travel management
  • Travel arrangements (car transportation/commercial flights/private charters/hotel), extensive domestic and international roadshow planning and logistics
  • Be readily available during travel periods to effectively and calmly handle travel changes
• Time management
  • Maintain and update the global Client Relations and Capital Raising calendar
  • Book and coordinate internal and external meetings (familiar booking within multiple time zones)
  • Setup conference calls with internal and external parties
• Preparation of material
  • Prepare material, update and edit presentations
  • Print, bind and distribute presentations
• Conferences
  • Assist with organizing the local New York Annual Investors Meeting
  • Register team members for industry specific conferences
  • Arrange and coordinate internal conferences
• Other
  • Register and update contacts in internal databases
  • Manage and update statistics
  • Filing
  • Expense reporting
  • Back-up other assistants on an ad hoc basis

REQUIREMENTS

• 5+ years of experience as an executive assistant / coordinator from finance background (Private Equity / Investor Relations experience preferred)
• Experience and interest in:
  • Travel and logistic coordination (domestic and international)
  • Comprehensive Calendar management
  • Working with contact/client databases
  • Work in an international environment
• Experienced user of Microsoft Office: PowerPoint, Excel, Word
• Experienced user of G-Suite (Gmail, Google Calendar, Google docs, Google sheets)
• Familiar with Slack
• Familiar with Expense reporting
• Familiar with CRM (Salesforce or other CRM system)
• Client-Service minded with a “can do” attitude
• Solution-oriented
• Focus on quality and with attention to details
• A sense of urgency
• Flexible style and the ability to seek solutions both independently and as part of a team
• Capable and driven to take initiatives

SALARY
$110K + discretionary bonus + 100% covered amazing benefits + 401k match + tech + perks

HOURS
8:30am-5:30pm + flexibility for minimal OT as needed
This is a hybrid Opportunity working in the Office Monday-Thursdays and WFH Fridays
