Appointment will be made on GRADE IV – CLERICAL (€31,547 – €50,348 LSI) at a point in line with Government pay policy, pro rata. (0.74WTE)
Additional remuneration will apply to shifts on weekends, public holidays and out of hours (early am and late pm).
Hours of work:
Part-time: 26 hours per week
Extended day roster hours from 6:30am to 10pm apply to this post in the Emergency Department.
Regular rostered hours for this role are currently:
Monday and Wednesday between 8am and 5pm with ad-hoc requirements for 6:30am rostered starts (average 7 hours per day exclusive of rest periods).
Additional shift patterns are:
Evenings: 5pm-10pm
Weekend: 8am-10pm in 3 shift patterns (8am-3pm, 1pm-8pm, 3pm-10pm)
The post holder may work up to 35 hours per week as per the OOH roster.

Overview:
This post will provide administrative support for the Emergency Department in the area of patient registration, reception, admissions and the nurses’ station. Staff working in these areas are often the first point of contact for patients presenting to the Hospital. The role involves interacting with patients and staff on a regular basis and using the associated IT systems to record patient information and deliver on the required functions associated with the role. The post holder should have excellent customer service ability combined with attention to detail and be competent in the use of IT systems in the workplace.

Position Summary:
The Emergency Department Administrative Officer role will provide an effective, consistent and efficient level of clerical support to assist consistent processes within the Emergency Department/Admissions. The post holder will ensure that policies / procedures and service level agreements are adhered to and in doing so, ensure a quality service to patients and service users
The post holder will be required to liaise with the multidisciplinary teams both internal, external to the Department as well as external service providers (e.g. National Ambulance Service), Patient Access Managers etc, as required to ensure service provision and quality improvements.
The post holder will be expected to contribute to the overall running and development of the department, keeping senior management updated on all issues that affect the department or the hospital in general.
Emergency Department Administrative Officers provide staffing for multiple posts in the department. The post holder will initially be trained in the reception and nurses station roles with further training provided to develop and provide support for all administrative roles in the department.
Key Responsibilities:
Registration of patients’ biographical details and presenting complaint on to the computer system.
Update computer with any additional or changes to biographical data ensuring data accuracy.
Handle professionally all external and internal telephone enquiries.
Carrying out all reception duties.
Support nursing staff in maintain up to date screens on A&E system, tracking patients progress through their ED journey
Contact wards directly when required to support transfers of admitted patients in a safe and timely manner
Ensure you are up to date on all mandatory training requirements
Ensure you are aware of and work in line with Hospital policies, including IPC requirements (bare below the elbow, prohibition on nail polishes, varnish, false nails and limitation in jewellery work etc.)
Provide cover, for other administrative staff in the department where and when required.
Any other appropriate duties that may be assigned by your Manager.

1. Professional Qualifications, Experience, etc
(a) Eligible applicants will be those who on the closing date for the competition:
(i) Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38 of the Health Act 2004
Or
(ii) Have obtained a pass (Grade D) in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish1 . Candidates should have obtained at least Grade C on higher level papers in three subjects in that examination.
Or
(iii) Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction
Or
(iv) Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland, (QQI).
Note1 :
Candidates must achieve a pass in Ordinary or Higher level papers. A pass in a foundation level paper is not acceptable.
Candidates must have achieved these grades on the Leaving Certificate Established programme or the Leaving Certificate Vocational programme.
The Leaving Certification Applied Programme does not fulfil the eligibility criteria.

(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office.

(v) Satisfactory relevant administrative experience which encompasses demonstrable equivalent skills
