Receptionist/Clerical Support
Established West San Jose law firm specializing in estate planning and probate and trust administration services seeks a full-time receptionist/clerical support assistant.
Job Duties: Under the supervision of an office manager, greet visitors; answer telephone; take and deliver messages; make daily appointment reminder phone calls; monitor and respond to website inquiries; schedule meetings; maintain lobby, kitchen, copy room, and all conference rooms; open and distribute daily mail; process client payments by check and credit card; mail and email documents to clients and others; copy and scan documents; create client files; order office supplies; maintain office equipment; manage vendors; provide liaison to property management office; manage off-site file storage activity; provide administrative support to professional staff; maintain client contact information in marketing leads and client database; prepare office for workshops, seminars and other events; assist with marketing mailings and program support as needed; send thank-you notes and gifts to client and professional referrals; and other duties as assigned.
The ideal candidate must be professional, personable, mature, dependable, a team player, detail- oriented, accurate, honest, computer-literate, well organized and able to multi-task, and one who has a strong work ethic and excellent oral and written communication skills.
Education/Training/Experience: A college degree is required. The ideal candidate will have at least 2 years general office experience, the ability to word process 65 wpm, a working knowledge of Microsoft Office products, and a general knowledge of basic office equipment.
This is a non-exempt, regular hourly (permanent full-time) position. Professional attire and appearance is required.
This position requires that all work be performed from our main office in West San Jose and frequent client contact is required. COVID protocols are in effect until further notice from the County Health Department. All office staff are vaccinated. Proof of current vaccinations is required as a condition of employment.
Wage/Benefits/Hours: Wages competitive; negotiable depending on experience; benefits include up to two (2) weeks paid vacation per year; three (3) days paid sick leave per year; ten (10) paid court holidays; no benefits during first ninety (90) day probationary period; annual performance and salary reviews. No health insurance or retirement plans are currently available. Regular work schedule (40 hours/week) is M-F (8:30-5:30, plus occasional overtime.
