Job Description: Scheduling Coordinator
To support our K-12 screening program, we are currently searching for a professional and courteous Scheduling Coordinator with excellent interpersonal and communication skills and a high attention to detail. The goal of this role is to manage the scheduling process for a large team of specimen collectors, including creating and disseminating schedules, backfilling shifts made available due to call-outs, and tracking schedule compliance.
This is a Full-Time position. The Scheduling Coordinator reports directly to Alabama Operations Manager.
Responsibilities:
· Ensure each testing site has the appropriate number of collectors scheduled by creating and maintaining schedules and communicating schedule to collectors.
· Coordinates staffing coverage for empty slots in the schedule; Notifies Operations Managers if efforts to fill slots have failed, due to call-ins and/or critical shortage.
· Notifies Operations Managers and Project Director immediately if staffing is not at minimum levels.
· Provides adequate documentation for employees changing shifts or signing on for additional shifts.
· Creates letters/memos and maintains a filing system.
· Reviews and tracks requests for Vacation and Time-off; Coordinates scheduling to meet these needs.
· Minimizes avoidable premium pay (overtime) through effective scheduling and timekeeping.
· Maintains accurate attendance records and notifies management of attendance-related concerns.
· Serves as liaison to staff with respect to work schedules & collaborates with other departments.
· Directly supports the Operations Managers & Project Director with word processing, project support, and general secretarial duties.
· Prepares reports as requested and/or other duties as needed
· Performs other duties as assigned.
Requirements:
To ensure success in this role, the ideal candidate must meet the following requirements:
· High school diploma or GED required
· At least 2 years of clerical or administrative experience required
· At least 1 year of staff scheduling experience required
· Intermediate computer program knowledge required, including experience with Microsoft Office products
· Knowledge of health care terminology helpful
· Excellent organizational and communication skills; ability to multi-task and handle competing priorities with tact and professionalism
· Regular and predictable attendance is required.
· Ability to work productively in a program start-up environment where changes happen frequently. Ability to adjust to the changes and support the team in navigating changes.
