Mallard Wealth Advisors is looking for a positive, eager-to-learn Administrative Support Assistant to join our team.

This role is to provide administrative support internally to our Branch Processor and Operations Manager and our Advisors and their teams. The Administrative Support Assistant will be required to perform an array of administrative duties including reception activities, greeting and screening visitors answering and referring inbound telephone calls, creating a hospitable, professional, and welcoming environment, and administrative support duties that may involve frequent interruptions with multiple and sometimes conflicting deadlines and priorities.

Handle all interactions with tact, discretion, confidentiality, and diplomacy.

• Technical Competencies – Must be proficient in using various software, including Outlook, Word, Excel, PowerPoint and CRM/databases. Must have accurate keyboarding and data-entry skills.

Key Responsibilities & Accountabilities

• Must maintain confidentiality at all times.
• Greet clients in person or on the phone, make them comfortable, and connect them to their desired party.
• Opening new accounts and processing new account documentation. Responsible for filing and maintaining client files and information on appropriate systems, manually and/or electronically.
• Complete Processing Desk duties which include:
• Financial and non-financial transactions.
• Communicates and work with compliance and Advisor teams for any problems that occur

• Complete and process paperwork to process client transfers. Follow up to ensure receipt and with Advisor teams on missing documentation required per regulatory requirements.
• Following up on outstanding documentation for restricted accounts
• Organize all inbound and outbound mail, fax and deliveries ensuring all items get to the necessary party on time.
• Organize, tidy, stock the reception, mailroom and office supply area.
• Coordinate the maintenance of office equipment (photocopiers, postage meter, fax, etc).
• Observe ad report any security issues to the Branch Manager
• Assist with evacuation procedures in the event of an emergency
• Other duties related to overall office administration, branch operations, or Advisor support as required.
