The Administrative Assistant is a full time position that serves as the assistant to the Lead Pastor at Byesville Assembly of God. This position also serves as the Treasurer/Chief Financial Officer of Byesville Assembly of God and oversees all the financial records of the church and serves as the head of the finance committee.

Responsibilities:

Administrative Assistant:

• Serve as the administrative assistant to the Lead Pastor and assume responsibility for assigned church office tasks
• Keep all church calendar events organized in the Google calendar. Put church events, staff vacations, and other important meetings on the google calendar. Also, keep events updated on the church website.
• Maintain website by updating graphics on the home page on an as-needed basis
• Update and maintain the schedule of the church sign graphics on a weekly basis
• Fully prepare the weekly bulletin and any other publications
• Relay information to all team members, lay leaders, or church regarding special information or meetings on an as-needed basis
• Order flowers for hospitalized and for funerals
• Order office supplies as needed and as the budget allows
• Keep church records updated (church membership, water baptisms, spirit baptisms, attendance, etc)
• Answer church phone calls and assist in scheduling appointments and calendar events for the Lead Pastor
• Prepare annual reports, agendas, board meeting minutes, letters for the pastor, and special cards on an as-needed basis
• Oversee maintenance of office machines (computers, printers, copier, etc)
• Help schedule preliminary plans for church weddings, funerals, receptions, etc.
• Order Bible teaching material as needed
• Keep all staff and personnel records
• Prepare departmental reports and booklet for annual and special business meetings
• Keep an eye on all supplies such as tissues in the church sanctuary, toilet paper in the restrooms, paper towels, and Welcome Center coffee supplies

Treasurer/Chief Financial Officer:

Weekly responsibilities:

• Maintain offering counting schedule
• Prepare a Cash Receipts Summary for each offering
• Transfer the offering information to the individual donor records in Servant Keeper and post the deposit in Quicken
• Run Servant Keeper reports for file
• Prepare a weekly account totals report and a weekly register report for the Lead Pastor and put in their mailbox or hand directly to them
• Report any pertinent financial information or suspicious financial activity of any kind to the Lead Pastor
• Write checks as necessary and record them in the proper place and category in Quicken
• Write payroll checks
• Keep individual payroll records

Monthly Responsibilities:

• Send missions money to Ohio Ministry Network and Assembly of God General Council
• Prepare bank reconciliations
• Prepare financial reports for the board and Lead Pastor
• Prepare and pay taxes

Quarterly Tasks:

• Work with PC Systems to prepare Form 941 and call this information in to the IRS
• Schedule and chair a finance committee meeting. In preparation for this meeting, review a comparison of actual versus budgeted receipts and disbursements noting especially any significant variations from the budget

Annual Tasks:

• Order offering envelopes if needed
• The board designates a portion of the pastor’s salary as a housing allowance
• Prepare all necessary financial reports to be included in the Annual Financial Report to the Church
• Reconciles the quarterly 941 forms to the total payroll information for the year
• Work with PC Systems to prepare annual required IRS, state, local, and payroll reports
• Mail forms and checks as needed and keep copies of all forms and checks

• Support the vision and mission of the Lead Pastor

• Have a consistent devotional/prayer life
• Help with any other tasks as requested by the Lead Pastor
• The hours are Monday-Friday, 8:00am-4:30pm with a 30 minute lunch break

Qualifications:

High School diploma
Bachelor’s degree preferred

*Compensation/Benefits: 

*-Full Time Wages – $14-$16/hour. Based on education and experience
