Part-Time Virtual Assistant Position

Overview:

Hello and thanks for your interest in working together! My company (Capital Creek Bookkeeping) helps small businesses keep accurate financial books using Quickbooks (Online and Desktop). We are solely focused on maintaining the Quickbooks file so accuracy is our main priority. We don’t offer any payroll or bill payment services. We just want to help these small businesses with their financial records using the Quickbooks software.

We are completely virtual so you would get to work from home, as long as you have a solid and secure internet connection along with the time and space needed.

I’m definitely biased, but I truly believe this is an amazing job because you get to make an impact in the lives of our clients (small business owners) and work in an enjoyable environment where you’ll be given the agency to move the business forward using your unique strengths.

Honestly though, the job is not all unicorns and rainbows — there’s some good news and some bad news…

Let’s get the bad news out of the way first:

• The hours throughout the month are not guaranteed. Work is provided on an as-needed basis. I will try to give you work as much as I can throughout the months, but can’t guarantee there will always be something to work on.

• You’ll need to check your ‘inbox’ every business day. Because of the nature of the work throughout the month, it is important that you see what tasks are being assigned to you and when they are due so you can plan accordingly. When I assign something to you, I try to give at least 2 days lead time before it’s expected to be done. I don’t expect you to be ‘on-call’, but we do need things done in a timely manner so you are expected to keep tasks moving along throughout the week and to not hold projects up by ‘batching’ everything on Friday or the weekend.

• Onboarding can be overwhelming. There’s a lot to learn at the beginning of working at Capital Creek. It will not be a walk in the park. The good thing though, is that I’m very committed to supporting you through the process. You will not feel alone during the onboarding phase. I will be there to help get you up to speed. It’ll benefit you to ask plenty of questions, be curious, and take good notes during onboarding. It might seem like I’m micromanaging or nit-picky during the onboarding process, but I’m actually just ensuring that Capital Creek’s high standards are being met and that you’re learning our processes well. I’m more interested in front-loading my work with you so that I can confidently give you the space to have true agency down the road.

• We have current standard operating procedures that you’ll need to learn. We have ways that we do things at Capital Creek. It’s my job during the onboarding process to support you as much as I can so that you can learn how we are doing things (using Clickup project management, using Google Drive, how we handle each clients’ books, etc…). The goal is for you to learn how we do things and then once you’re comfortable with our processes, you can suggest new ways we can do things so that we can improve.

Now let’s talk about the good stuff:

• We’re 100% virtual. You can work from home in whatever outfit you’d like! We just ask that you dress in a presentable manner during zoom meetings with the team.

• You’ll have a ton of autonomy + the opportunity to bring your ideas to the table, as well as taking the lead when you need me to get things done. Seriously – I want you to take the lead and tell me what you need in order to get things done.

• We are systems focussed at Capital Creek. When things go wrong, my first assumption is that one of our systems or processes is insufficient. I’m slow to blame my team members for mistakes. I believe this creates a really healthy working environment where team members can feel confident as long as they are following our predetermined processes and systems.

• I don’t want to micromanage you. While I expect you to work efficiently and get things done, I focus on open communication, meeting deadlines, and accuracy.

• You are a part of a supportive team. We are all about teamwork and we believe we are all stronger as a team. We give you the support and help you need. You will be working directly with the Assistant Bookkeeper and the owner of the business, Kevin.

Let’s discuss the job requirements:

• You are a ‘jack of all trades’ The most important goal for your role is to assist the team in various ways throughout the month. You are able to hop around from task to task and help get the job done. Your strength is versatility and being able to understand the task at hand, whatever it may be.

• You need to have a solid and secure connection to the internet. We have a computer set up in our offices for each of our team members. You will need to connect into that computer when you are working for Capital Creek Bookkeeping. This method has multiple benefits for everyone involved so you need to be able to work this way.

• You know when to admit you don’t know something. You understand that it’s better not to assume something and be wrong later. We are here to help you and you know how to effectively ask for assistance.

• You LOVE making systems. You understand that systems make everyone’s lives easier (including future you). You like spending a little more time upfront to create an internal system or resource that will allow the company to grow and scale effectively. You know how to identify that a system can be improved and you communicate accordingly.

• You are proactive and ‘on top of things’. You don’t let things fall through the cracks. You are detail oriented and strive to make sure the client can feel that Capital Creek Bookkeeping is on top of it.

• You are great at time management and getting tasks done by the deadline.

• You are able to communicate effectively with team members.

• You are organized with your work. You make worksheets when solving problems and you save documents in a digital folder system (like dropbox or google drive).

• You are comfortable on the computer. As a virtual bookkeeping company, everything we do exists on the computer and internet. It is critical that you can navigate a digital environment effectively and efficiently (which means learning new software when needed).

Some specific things you’ll get to do:

• Random data entry type tasks

• Transposing information from one source to another

• Organizing Google Drive documents and folders

• Contacting customer support for computer programs that Capital Creek is using

• Helping manage our project management software (Clickup)

• Categorize transactions in Quickbooks Online and Quickbooks Desktop

• Research a topic online

• Learn a new program that Capital Creek is going to start using

• Download bank statements for client bank and credit card accounts

• Ask clients to help gather information you are missing

• Various other projects/tasks as assigned

In short, your job is to help Kevin (business owner) in any way you can to drive the mission of Capital Creek Bookkeeping forward + continue to free him up from questions, decisions, and things he doesn’t need to be involved in. Our work environment is casual, but we do expect professionalism and punctuality.

But what we don’t expect is perfection for you to qualify for this job. We don’t really care if you know how to use Quickbooks, Clickup, Google Drive or Loom yet (although that’s a plus), we can teach you that and other things. We expect a passion + skill for data entry, accuracy and bringing order to chaos along with energy, organization, resourcefulness and a get-it-done attitude.

Compensation:

This is what I can offer at this time:

• This is a part-time / non-exempt position

• The starting pay is $10-$14/hr (depending on what state you reside in)

• Hours are assigned as needed (estimating 20-40 a month)

• This is a virtual role, and I try to be flexible with schedules, but we do operate on the Pacific Standard time zone.
