Key Responsibilities
Organize and file patient records, documents, and correspondence in both physical and electronic filing systems.
Retrieve and prepare patient files for medical staff as requested.
Ensure all records are filed in compliance with company policies, HIPAA guidelines, and legal requirements for confidentiality.
Maintain an orderly and systematic filing system to facilitate easy access to information.
Assist in the scanning and digitizing of physical documents for electronic storage.
Perform routine audits of files to ensure records are complete, up-to-date, and accurate.
Handle incoming and outgoing mail, including filing and forwarding correspondence.
Prepare and label files for archiving or destruction according to company policies.
Assist with special projects such as organizing and updating patient records or preparing for audits.
Provide administrative support to other departments as needed, including data entry and document preparation.
Ensure the security and confidentiality of patient and office files at all times.
Qualifications
High school diploma or equivalent; additional education in office administration or related fields is a plus.
Previous experience as a file clerk, office assistant, or in a related administrative role is preferred.
Strong attention to detail and organizational skills.
Knowledge of HIPAA and confidentiality regulations related to medical records.
Ability to work efficiently and manage multiple tasks in a fast-paced environment.
Proficient in Microsoft Office Suite (Word, Excel) and other basic office software.
Strong communication skills, both written and verbal.
Ability to work independently and as part of a team.
Physical Requirements
Ability to sit and work at a desk for extended periods.
Ability to lift and move boxes of files and documents when needed.
Ability to bend, squat, or reach to organize files in various filing cabinets.
