Job Summary
The Administrative Assistant Training works collaboratively with the nurse Supervisor in the Toronto Branch to arrange training for our healthcare providers at our various healthcare facilities and assists the nursing supervisors during orientation of new healthcare provider hires.
Reports to: Director Client Services
Position: Full-time, Permanent
Hours: Monday to Friday, 8:30am to 4:30pm
Office Location: Yonge/College (hybrid model of office and remote work)
Responsibilities:
Arranging training sessions for our healthcare providers at the various facility client sites in a timely manner (e.g., hospitals, long term care)
Works with nursing Supervisor and Scheduling Office to identify healthcare providers who require training at our various facilities
Contacting healthcare facilities to determine dates for upcoming sessions for our healthcare providers
Organizing training dates with healthcare facilities and organizing and distributing all training materials
Contacting healthcare providers to arrange for them to attend training (e.g., in person, eLearning modules, virtual training) and emails training materials to healthcare providers in advance
Documenting all healthcare provider training in the on-line scheduling system including adding facility placements to their profile once training has been completed and updating the healthcare provider’s professional profile in the scheduling system
Organizing all training and educational materials for new hires, as part of the general orientation, in collaboration with nursing Supervisors
Distributes updates on facility training requirements as needed
Developing and maintaining training database for each facility site, that includes contact names, and all training resource materials and updates regularly to ensure information is current
Using Excel spreadsheets to keep track of healthcare provider training and completion dates
Following up to ensure that healthcare providers who have completed training are working at the facility sites where they have been trained
Enters Key Performance Indicator (KPI) data related to training
Distributes and receives feedback survey data from training attendees and reviews data with nurse Supervisors and Director Client Services for quality improvement initiatives
Providing utilization reports to Staffing Office on training/utilization data for future reference
