A Chicago based mental health practice is looking for someone who is dedicated to providing administrative and personal assistance to support the growing endeavors of the practice and its owner. The individual perfect for this role has a passion for keeping things organized, contributing to a close-knit team, working from home independently, growing professionally within this role, and communicating clearly with the owner and clinical staff.
This position has two parts, one is running the front office for the mental health practice and the second is providing PA services to the owner. More details on responsibilities are listed below. Chicago Counseling’s owner, Rachael Miller, is a globally recognized, seasoned mental health professional who specializes in neurobiology-informed clinical practice of trauma recovery. In addition to running our amazing private practice, Rachael is Managing Partner and Director of Clinical and Health Innovations with Impact Alchemy, and a consultant and educator who has supported organizations around the world to implement neuropsychosocial interventions.

previous experience with insurance billing valued but not required
previous experience as an office admin or PA a plus
previous experience on a remote or distributed team a plus
bonus points for a degree in administration or relevant profession
bilingual highly valued
What you’ll be doing
being the primary hub of the organization by providing concierge-level service to clients, owner, and clinical providers
manage all incoming and outgoing communications, including live answering of phones
willingness to participate in staff support activities for burnout and isolation prevention
commitment to the mission and goals of the organization
ability to manage a lengthy running list of tasks while prioritizing responsibilities
manage paperwork, filing, emails, and complex calendars
complete general administrative tasks of completing forms, filing paperwork, making calls
manage a multi-step, client onboarding process
handle simplified insurance billing and fee collections for clients
develop workflow procedures and create systems for streamlined operations
support marketing through creating, writing, and editing social media posts, blogs, and website copy
conduct research for the practice owner or clinical providers
9am to 5:30pm, Monday through Friday with occasional availability evenings or weekends
