Position Summary:
The Office Assistant will be responsible for answering calls, greeting family members and coordinating meetings with staff, community groups and families. This position will also relay messages, keep records of all meetings and monitor payroll/expenses.
Essential Functions and Responsibilities:
Fulfills training responsibilities according to Childrens Home, NYS Justice Center, OCFS and ORR regulations.
Is familiar with and adheres to all agency policies and procedures as outlined in the Child Care Manual, Employee Handbook and HR Manual.
Cross train to support the Family Center Recreation Staff in their absence.
Gathers and updates client/family contact information.
Provide referrals/recommendations to community resources as applicable.
All other duties as assigned.

Confidence in setting boundaries with clients.
Understanding of client confidentiality and how to maintain confidentiality.
Ability to learn software and work in a paperless environment.

Strong Communication Skills (verbal, written, in person)
Fluency with Microsoft Office applications and GSuite (Docs, Sheets, Calendar)

Ability to track and report the number of youth, parents and families using the center and demographics.

MINIMUM Qualifications:
Must be 21 years of age or older due to insurance regulations.
High School Diploma or Equivalent.
At least 1 year of experience working with children and families.
Valid NYS Driver License in good condition as determined by the Agency.
Must complete and pass a pre-employment physical, PPD and drug screen and an annual physical and PPD.
PREFERRED Qualifications:
Higher Education or certificate(s.)
Previous experience in an office setting.
Appropriate certifications/licensure.
Physical Demands and Work Environment:
Must be able to remain in a stationary position for an extended period of time
Constantly operate a computer and other office equipment
Ability to move through the family center to organize and clean areas.
