This position represents the face of a unique solo pediatric office. It requires a happy but efficient voice, poise, tech savvy and coolness under pressure. The receiving and dispatching of phone calls are the crux of the job. These calls result in scheduling visits, taking messages for the nurses , the doctor, or the billing person, but also answering basic questions about the office, its policies, fees, and procedures etc. The ability to juggle three phone lines, frequently having to politely ask a parent to be put on hold, and processing an exiting family, that is receiving a payment and scheduling the next visit if needed. We are one of the last medical offices in our area that have live phone response. This is a hallmark of our business and is the reason that this job opening needs a high energy, positive and confident person representing us to the public and to our families.
Incoming calls are received live from 9 am-12 noon and 2 pm-430 pm daily, except Thursdays we close for the day at 12 noon. The reason for the limited live phone exposure has to do with the high-intensity experience. Because of the intimacy of the office, and the close relationships our team has with our families, a certain kind of personality, one that is both warm and friendly, but also quick and adept at closing conversations, is necessary. Previous experience in a pediatric office setting is preferred.
A day at work looks like this:
Arrive at 830 am. There is a 30 minute time period to do:
-lights on, deal with any faxes present, check for voice messages at the answering service, then call the billing person for a daily 5-10 minute review of incoming patients to review balances due and verify insurances. Unlock the front door just before 9am. Take the phones off service at 9am.
Once the phones are “on” and through the day you will be:
-answering the phones, scheduling appointments, taking messages (pink slips)
-pulling charts and prepping them for a same day visit or callback/refiling charts
-printing out the next day’s superbills
-calling to confirm appointments for the next day
-opening mail and distributing accordingly
-collecting copays and balances
-checking to ensure doctor’s note is complete before refiling charts
-retrieving charts off doctor’s desk and refiling/distributing
-posting payments into system
-running credit cards for any balances, under the billing person’s supervision
-posting visits/procedures/vaccines as they come in
-creating/organizing charts for new patients
-creating/emailing school forms/notes
-ordering supplies for the office (printer supplies, pink slips. etc)
-keeping postal machine active/charged with $
-faxing documents as needed
-scheduling aquarium servicing every 3 weeks
-aging meeting with Kelly and doc every other Wed ~1145am
-mailing out annual fee statements
-mailing out balance due statements
-scheduling covering doctors as needed
The hours are 8:30 in the morning until 12 or 1230 whenever work gets completed. Phones back on at 2 PM until 4:30 PM but we finish up anywhere between 430 and 530 depending on how busy we are. This averages 32 hours/week. The job does require one Saturday morning every 12 weeks or so from 9 AM to 11 AM. Salary is commensurate with experience. Background check is required. Other benefits listed below, like reimbursement for scrubs, cell phone, and partial health insurance premium can be negotiated going forward.
