Our Head of Technical Services & Design is looking for a Personal Assistant who can turn the chaos into order and keep our leader on the pulse of their unit. The Technical Services and Design Unit who are an in-house shared service comprised of technical and design professionals responsible for providing specialist advice and services across the Council.

It Goes Without Saying That As a PA You’ll Need To Be Adaptable And Organised To Keep One Step Ahead And Ensure That The Workflow Is Well Managed. The Tasks You’ll Be Undertaking Include

• Proactive diary management and support by aligning scheduling with priorities.
• Screening incoming mail, e-mail and phone calls, redirecting, delegating and prioritising as appropriate.
• Informing on priority issues, researching and preparing background information as appropriate.
• Attend meetings and undertake minute taking function on behalf of Manager or meeting chairperson.
• Build relationship of trust and respect with the Key Stakeholders.
• Dealing with sensitive and confidential information, such as employee records, strategic plans, and organisational changes.
• Providing administrative support to TSD Team Leaders

You Are Someone Who Can Work Independently And With Initiative, Seeking Out What Needs To Be Done Before You’ve Been Asked To Do It. You’ll Be Able To Jump In And Out Of Tasks As Priority Demands, Work Under Pressure, And You Won’t Shy Away From Challenging Work. To Be Successful Your Experience Will Include

• 6 years’ experience as a Personal Assistant within a large organisation with at least 3 years providing support to a Senior Manager
• Very high level accuracy in spelling and grammar
• In-depth knowledge of administrative systems and procedures
• Well-developed communication and interpersonal skills
• Experience in managing senior executive internal relationships in both formal and informal contexts
• Experience using SharePoint and Nintex would be an advantage

Hours of work – 37.5 – 40 hours per week

Position – Permanent

Location – This position is primarily based at Te Hononga, Christchurch City Council Civic Offices – 53 Hereford Street

Salary – The salary band for this position goes from $65,502 to $72,780 per annum based on a 40 hour week. Starting salaries will be based on knowledge, skills and experience the successful candidate brings to the role, and relativities both, within the immediate team and in the broader organisation for the same or similar roles.
