City of Burlington, Vermont Hiring for Administrative Assistant – Front Desk at Burlington, VT Full Time

This position supports the City’s public engagement efforts with a specific focus on creating a warm, welcoming, and informative experience for all visitors, including non-native English speakers to the reception area on the third floor of City Hall. The third floor of City Hall consists of three departments–Mayor’s Office, CEDO and Racial Equity, Inclusion & Belonging (REIB). Additionally, this position is responsible for providing administrative support to the department staff with an emphasis on clerical support.

Essential Job Functions

• Manage the third floor of City Hall’s front office to foster a warm, welcoming, inclusive and informative experience for visitors and constituents.
• Greet visitors and constituents who come to City Hall (3rd floor) to the Offices of the Mayor, CEDO and REIB.
• Inform appropriate staff members, including the Mayor’s Office that their visitors have arrived and ensure that all visitors/constituents are accompanied when visiting the third floor of City Hall.
• Greet constituents via in-person, telephone and email communication and provide appropriate resources or route questions/concerns to appropriate individuals; follow-up on constituent concerns with appropriate departments and staff members.
• Provide excellent constituent/visitor service and knowledgeable assistance in response to requests via phone, email or in-person visits.
• Maintain a data base of constituent contacts that categorizes issues of concern from the Burlington public to help inform leadership on policy making.
• Provide administrative support to department staff, as needed. This support could include scheduling meetings and meeting space; warn meetings; record, transcribe and distribute minutes; maintain records and files; assist in developing and disseminating outreach materials and facilitate communication with other City Departments, and managing the technology for hybrid meetings when necessary.
• Respond to email communications, as directed.
• Update and/or maintain records manually or by computer, as may be required.
• Open, sort and distribute mail.
• Perform other clerical duties such as filing, shredding, photocopying and collating, as needed.
• Assist department staff with special projects, as may be required.

Qualifications/Basic Job Requirements

• Ability to actively support City diversity, equity, and cultural competency efforts within stated job responsibilities and work effectively across diverse cultures and constituencies.
• Demonstrated commitment to diversity, equity and inclusion as evidenced by ongoing trainings and professional development.
• At least a high school diploma or equivalent required, with one or more years of administrative office support experience required.
• Must be computer proficient, including familiar with Word and Excel and knowledge of other software programs, web and desktop publishing applications are a plus.
• Knowledge of a variety of general office procedures to include typing, filing, record keeping and basic mathematical calculations required.
• Outstanding constituent/visitor service and communications skills required.
• Ability to be able to work in a team environment, while also being self-directed.
• Ability to be adapt to changing job duties and be able to multi-task.
