Job Description
Under the general supervision of the Utilities Director, the Administrative Assistant provides administrative support to Utilities and Public Works Departments and provides information and exceptional customer service to the general public. The position performs general office duties such as coordinating meetings and/or functions; preparing correspondence, reports, and other documentation; updating and maintaining records management systems; and performing general accounting duties. Job Responsibilities
1. Provides administrative support to the Utilities and Public Works Departments.
2. Provides a high level of customer service for the general public.
3. Responds to inquiries from City employees, elected/appointed officials, outside agencies, and the general public and assists in resolving complaints.
4. Processes work orders for a variety of service/maintenance issues.
5. Prepares correspondence, memoranda, contracts, surveys, or other documentation.
6. Schedules appointments, meetings, and functions.
7. Prepares agenda items for City Council meetings.
8. Prepares travel arrangements as directed and maintains records; secures transportation and hotel reservations/ accommodations.
9. Operates office equipment.
10. Coordinates the ordering of office and/or other departmental supplies.
11. Performs other related duties as required. Knowledge, Skills and Abilities

1. Knowledge of city practices and procedures.
2. Ability to operate a computer and related software and basic office equipment.
1. Ability to read and write concisely and use proper grammar and punctuation of the English language.
3. Ability to communicate and interact effectively with a variety of individuals with courtesy and tact.
4. Ability to manage projects and multi-tasking.
5. Ability to maintain sensitive and confidential information.
Physical/Environmental/ Sensory Requirements
Work is performed in a standard office environment with low to moderate noise level. Subject to sitting for an extended period of time, standing, walking, bending, reaching, kneeling, and lifting and putting away such items as records and office supplies of moderate weight of up to 40 pounds. Working with a wide variety of people, some of whom may be irate or difficult. Education/Training/Experience Requirements
1. High school diploma or equivalent required.
2. Three years of clerical or customer service-related experience required.
3. Appointment/Commission as a Notary Public.
4. A valid Texas driver”s license.
