We’re looking for an experienced Corporate Operations & Office Manager super star to oversee the day-to-day administration and non-direct client operational activities of ClearPoint. The ideal candidate will be someone who has previously worked within the ICT/tech industry but this would not rule you out either! Reporting to the Chief Operating Officer, this role requires the ability to build strong relationships, have a natural efficiency, organisation and collaboration with your style of work while remaining calm under pressure. Your verbal and written skills will need to be high. This is a full-time permanent onsite role at our place of business in the Auckland CBD.
The experience we’re looking for
5+ years in a similar role (Office, Executive or Operations Management)
Strong administration skills
Good with numbers and financial planning
Experience with internal systems | corporate security/privacy
Experience supporting a Executive/Senior Leadership Team
Compliance and Business Continuity
Management of internal projects
People management
The objective of this role is to ensure ClearPoint is managed so that the operations/administration side of the business is performing efficiently and effectively.

Managing all aspects of the company’s administration/operations function
Overseeing the Administration and Operations budgets while optimising costs and benefits
Reporting on operational performance (and suggesting improvements where necessary)
Collating and reporting on KPIs
Working in collaboration with the Finance team to provide operational support for month end
Day to day planning and support of corporate-level technology solutions throughout the organisation, including triage of IT and general admin requests/issues
Managing the ClearPoint Service Desk, being responsible for triage of requests/issues
Collaborating with the Head of Talent & Culture to drive an effective calendar of internal ClearPoint events including company Town Halls, social events, culture events etc.
Managing internal administration/operations projects
Ensuring smooth induction/onboarding and offboarding of staff including maintenance of core records
Supporting the Executive team of COO, CCO, CFO and MD as required – this includes preparing reports, organising meetings, coordinating team meetings and preparing presentations
Ensuring the business is meeting its Health & Safety responsibilities (and taking on the Chief Fire Warden role!)
Ensuring the business is compliant with local and international laws including private, e.g. data protection
Identifying opportunities for improvement and implementing as required
Ensuring overall capabilities of the team are improved through continuous coaching, development and motivations
Collaborating with the office administration staff to ensure there is 100% coverage at ClearPoint House during normal business hours
Team events – support with organising and execution of internal events
Office maintenance – stationery/grocery supplies, liaising with Cleaners and building manager(s)
