The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Executive Assistant to the Provost in the District Provost Division. GENERAL DEFINITION The Executive Assistant to the Provost is responsible for performing executive secretarial and administrative staff functions and managing the office for the provost, consistent with the administrative policies, guidelines, and procedures of Community Colleges of Spokane (CCS). The Executive Assistant must project a positive and professional attitude and image for the Provost’s office and act with confidence and a high level of confidentiality. CHARACTERISTIC DUTIES AND RESPONSIBILITIES *Provide administrative support for the Provost (e.g., assembling background material, reports, and data for scheduled meetings and conferences); coordinate work schedules with the Executive Assistant to the Chancellor/CEO. * *Schedule appointments and establish calendar priorities for the Provost, requiring knowledge of preferences for whom to schedule or refer to other offices providing appropriate information to the Provost for each appointment; serve as liaison between Provost, administrators, office staff, faculty, and the public, and serve as Provost’s representative when appropriate. * *Schedule, plan and arrange travel for the Provost. * *Answer telephones for the Provost’s office, take messages, and disseminate information to staff members. * *Monitor, track, and reconcile multiple department budgets. * *Perform purchase card reconciliations for designated personnel in the Instructional Support Services division. * *Maintain daily and monthly files for follow-up on tasks and deadlines assigned by the Provost to other staff. * *Prepare notices for meetings, assist in preparation of meeting agendas and backup material for meetings, as well as compilation of minutes from those meetings; includes serving as recording secretary when assigned. Follow up on all meetings attended by the Provost to assist in initiation or completion of assignments or projects resulting from meetings. * *Develop and implement office procedures, including filing systems, mail processing, answering telephones, and procedures that lead to efficiency and effectiveness. * *Maintain office supply inventory and necessary records. * *Compose letters and memos (sign when appropriate) after clearing any technical or policy content. * *Assist in special projects of major impor
