The Personal & Executive Assistant will provide high-level administrative support to the CEO. This role also organizes and coordinates executive outreach and external relations efforts and oversees personal investments and special projects. The Personal & Executive Assistant must be creative and enjoy working within an entrepreneurial environment.
The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, financial, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Duties and Responsibilities:
· Manage all types of sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the CEO and the operations of the company.
· Sustain a daily calendar of meetings and events. Administration of the family office; including, but not limited to insurance, banking transactions, taxes & property management for multiple residences.
· Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents.
· Arrange executive travel and accommodations. Administer Corporate Jet, Flights, Pilots, Airport arrivals, and departures.
· Manage the CEO’s agenda, phone calls, emails, contacts, and appointments. Excellent communication and time management skills; proven ability to meet deadlines.
· Ability to function well in a high-paced environment; performs additional duties as assigned by CEO.
· Draft and prepare correspondence for internal announcements, executive meetings, and organizations that the CEO is involved with.
· Welcome the Executive’s guests by greeting them, in person or on the phone, answering or directing inquiries.
· Use discretion, confidentiality, and good judgment to handle executive matters.
· Represent the company and the CEO in a positive light through great follow-through skills and sound judgment.
· Conserve the Executive’s time by reading, researching, collecting, and analyzing information as needed, in advance.
· Complete ad-hoc projects as assigned – such as personal events and/or family needs.
· Organize complex calendars and schedules, resolving any scheduling issues Qualifications 5+ years of experience required in working in a CEO / President / C-Level personal assistant role.
Qualifications:
· Experience in Family Office matters (Admin, Financials, Reports, Taxes, Investments, Travel). Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
· Ability to communicate effectively and professionally.
· Willingness to stay up to date with the latest administrative methods and technology.
· Excellent attention to detail.

· Service focus – dedicated to meeting the expectations and family office needs of the CEO.

Job Type: Full-time
Pay: $115,000.00 – $140,000.00 per year
