Position Purpose
Under general supervision, the Administrative Assistant is responsible for providing and maintaining a professional, efficient, and secure front desk experience for internal/external customers and guests. This position plays a major role in site security, visitors support and protocols. Responsible for office supply management and fulfillment, mail distribution and fulfillment, maintaining conference rooms, etc. In addition, provides administrative assistance support of Operations programs and other facility related functions.
Functional Responsibility
Essential Duties
- Provides and cultivates excellent customer service for internal and external customers/guests, and directs phone calls and messages to the appropriate people
- Coordinates services for on-site vendors
- Maintains and administers site security systems including monitoring door controllers and alarm system
- Processes and distributes in/out going mail, shipping and receiving (includes preparing packages for delivery and ordering shipping materials such as boxes/envelopes/address pouches/etc.)
- Takes inventory, orders supplies, and stocks office, copiers and breakrooms
- Maintains orderliness of the supply closets
- Monitors conference rooms for common supplies and cleanliness
- Facilitates workstation relocations under the direction of the VP Winery Operations; participates in space planning discussions; prepares space planning layouts, coordinates with IS regarding workstation relocations
- Plans and executes site lunches, site wide meetings and any employee wine distribution assistance
- Provides administrative support for operations process improvement initiatives
- Manages and supports site reporting where needed

Minimum Requirements
Education and Experience
- Highschool diploma or GED equivalent required
- 2+ years of progressive related work experience; administrative support or customer service
Knowledge, Skills, and Abilities
- Strong computer skills, MS Office Suite (Excel, Word, Power Point)
- Strong Customer Service orientation
- Organizational skills, ability to prioritize, and effective multi-tasker
- Effective team player
Working Conditions
- Required to drive automotive vehicle or equipment
- Indoor and outdoor environment with exposure to the elements/temperature variations
- Occasionally may be required to lift and carry cases of wine
