Denise Louie Education Center Hiring for Administrative Assistant Job at Seattle, WA Full Time

Position Summary
The Administrative Assistant supports the Executive Director with administrative duties and day-to-day of the Administrative Team and Early Head Start Office. The incumbent of this position, will be required to maintain confidentiality, set appropriate boundaries, and work closely with the executive director.
Essential Functions

• Assist executive director in day-to-day aministrative tasks, such as screening emails, updating calendars, scheduling meetings, etc.
• Attend monthly policy council and board meetings, to assist executive assistant with meeting notes and processing of minutes and other approvals. May assist with facilitation of portions of a meeting.
• Provides basic Denise Louie Education Center program information to callers and to site visitors as well as current program activity information
• Answers and directs incoming phone calls and takes messages for staff
• Maintains administrative files, such as contracts, grants, and licensing, and other confidential information
• Coordinates meetings, trainings, and staff events by coordinating venues or meeting room reservations, interpreters as needed, food, set-up, and clean-up.
• Manages office supply inventory and staff snacks: coordinates orders according to DLEC finance policy and procedure, keeps supplies and snacks organized and accessible to staff.
• Contacts and follows-up with office building maintenance as needed.
• Administers efax, Amazon, Costco, Adobe, and other corporate accounts ss designated and processes transactions by coordinating with appropriate staff as needed.
• Responsible for incoming and outgoing mail, following internal process for processing the mail.

Additional Responsibilities

• Assists in organizing DLEC online files.
• Assists with copying, filing and other general office tasks.
• Oversees EHS/Admin kitchen and office organization

Skills, Competencies and Experience

• AA degree in related field required; BA preferred
• Minimum of two years of office experience, preferably in a non-profit setting
• Excellent organizational, written, and verbal communication skills; high attention to detail; ability to multitask.
• Ability to interact positively with a varied clientele, in person, on the phone
• Ability to complete complex projects independently
• Ability to take initiative and follow through on tasks
• Ability to anticipate and respond to needs of managers and agency
• Ability to handle sensitive and confidential information in a professional manner
• Excellent strategic thinking, critical thinking, and problem-solving skills
• Ability to be flexible and succeed in a fluid work environment
• Must be committed to the DLEC mission statement, the involvement of families in the delivery of services, and program service delivery goals.
• Proficiency in Microsoft Outlook, Word, Excel and database systems required

Physical Demands and Working Conditions
Physical Demands: To perform the job the employee is frequently required to talk, hear, stand, walk, stoop, and balance, kneel, crouch, reach with hands and arms. The incumbent will be required to carry materials weighing up to 40 lbs. on frequent basis, on an occasional basis lifting up to 50 lbs.
Working Conditions: The work is typically performed in an early childhood school environment, with moderate to loud noise level. Occasional travel to other site locations is needed.
