Office Administrator

Dillon Engineering Services are looking for an energetic person to fill a newly created role as Office Administrator. Dillon Engineering Services work to support all Biopharma, Medical Device, Semiconductor and Energy companies in Ireland with the supply of mid-senior professionals on both a contract/interim and permanent basis.

We focus on the areas of:

Quality – Engineering – Validation – Scientific – Design.

In this role there will be several duties to perform. You will be supporting all the company activities and have several tasks ongoing at one time.

This role will initially be a 3 day week and may develop out to be a 5 day a week in time. The position will initially be remote but there will be requirements to go to the office in Castlebar and Galway City as needed.

The Role:

· Recruitment

• Co-ordinate and support the Recruitment and Selection life cycle.
• Liaise with Company Director and Managers to understand the criteria of role requirements and prepare advertising documents.
• Update and maintain the online Recruitment system used – Bullhorn
• Act as the point of contact for candidate queries.
• Set up interviews and issue relevant correspondence.
• Ensure all relevant records, correspondence and documentation are maintained and compliant.

Administration

• Ensure relevant staff databases are up-to-date, accurate and comply with legislation.
• Provide support to the office team when required
• Updating and maintaining a database.
• Updating financial files
• Updating financial system with invoices and payments -Sage

Skills

• Ability to manage multiple tasks concurrently and prioritise
• Excellent interpersonal and communication skills
• IT proficient and experience in using different software and systems
• Self-motivated with an eagerness to learn and develop
• Excellent attention to detail
• Ideally have Sage or Bullhorn systems experience
• Experience with invoicing and remittance
