We are looking for an Administrative Assistant to support training operations at the US Air Force Academy.

The job responsibilities include, but are not limited to:

• maintain an inventory of tests regardless of format. Arrange for and participate in the annual DANTES facilities review and myLearning Test Control Facility (TCF) revalidation.
• responsibility for two computer testing labs with a total of 35 systems. The computer facilities management and operation services will include ensuring all systems are in functioning order. Perform initial troubleshooting to identify issues, and if necessary, work with local Communication Squadron’s IT Help Desk to report, track, and resolve the issue to return the systems to functioning order.
• assure that each examinee presents official, positive identification before being admitted to testing. Entries into the test log will be completed for each test administered. Before examinees begin a test, they should be advised of the following:
  1. The time limit for the specific test (if applicable)
  2. That the tests and answer sheets are controlled items for which they are accountable
  3. No help on test questions will be given or received
  4. No information about the test will be removed from the testing room
  5. No extraneous materials/information or electronic devices are allowed in the testing room
• Completed answer sheets and used test booklets (as required) must be returned to the appropriate examination agency within three working days after test administration. Electronic exams will be transmitted to the appropriate examination agency no later than the end of each duty day.
• performs customer service duties for the section and will be conducted in a prompt and courteous manner. You will refer academic questions to an Education Services Specialist, Guidance Counselor, or the Chief of Education Services.
• assist in preparing all areas of responsibility, i.e. maintaining accurate records for regulatory inspections such as a Unit Effectiveness Inspection (UEI) and assure his/her computer desk and other work areas are neat and clean.
• Daily test scheduling, security, delivery, administration and management as well as daily tracking and handling of formal training RIPS and updates in MILPDS. An electronic report the number Formal Training actions and tests administered for the week are due to the Section Chief by noon on each Friday. If Friday is a holiday, the report is due by noon on Thursday.

Requirements:

• Must have 3 years administrative experience
• US Citizenship or Permanent Residency required
• Must be proficient in communicating verbally and in writing
