Executive Administrator and Board Liaison

Easterseals DC MD VA (ESDCMDVA) (www.eseal.org) is the affiliate serving Washington DC, Maryland, and Northern Virginia.

We deliver exceptional services through a network of 8 sites and in-home care, providing Adult Medical Day Care, Early Child Development and Education (including Head Start), Therapy, Respite, Behavioral Health Care and Workforce Development services where participants and their families find support, hope, medical care, and enjoyable activities.

In addition to our first Child Development center in DC, we currently operate three other Child Development Centers in the region. Our programs also emphasize the unique needs of veterans, active-duty military, and their families.

We are an independent 501(c)3 with a local board of directors focused on focused on creating a hopeful, inclusive community where all individuals realize their potential and live meaningful lives.

Our dedicated staff of approximately 300 professionals includes specialists in education, therapy, senior services, social work, assistive technology, nursing, and related professions.

The Opportunity

The EA will be able to anticipate needs, manage day to day workflow, prioritize projects, and help the SLT make the most effective use of their time with limited direct supervision.

The successful candidate will possess the following core competencies:

• Computer/Technical Skills: Demonstrated proficiency at Microsoft Office applications and ability to learn new technologies, software applications, and to technical skills quickly.

• Team Player: Ability to work as a competent member of the team, willingly providing back-up support for co-workers when appropriate and actively supporting group goals. Key Responsibilities

• Proactively manage calendars, plan meetings, execute logistics of meetings, and monitor completion of key tasks.

• Monitor CEO calendar to assure a smooth daily transition between activities and provide timely reminders of upcoming commitments.

• Manage the administrative calendar including, among other things, scheduling meetings with VIPs, proactively adjusting the calendar as priorities change, ensuring all relevant ESDCMDVA personnel are aware and prepared, and that agendas / supporting documentation are provided in advance.

• Enter relevant meeting information to Raiser’s Edge.

• Ensure follow-up activities happen on a timely basis.

• Assist with drafting letters and emails, proofreading, filing, travel, expense reports, and miscellaneous tasks as assigned.

• Administrative Liaison for the Board of Directors:

• Schedule all committee and board meetings, coordinate all related activities (parking, food, A/V, etc.).

• Proactively meet with CEO and SLT to develop agenda, pre-read materials, and presentations for board and committee meetings, draft minutes of meetings.

• Communicate with the Board of Directors via email, phone, and in person so that they are apprised of upcoming meetings and events. Manage process to ensure prompt distribution of all agendas, meeting materials, minutes and other correspondence needed by the Board of Directors.

• Manage all Governance Committee business to include preparation, distribution and collection of all documents; maintenance of current prospective board member list and drafting and editing of committee minutes.

• Obtain and organize materials from all departments for inclusion in board meeting materials.

• Update and distribute all board materials (member lists, directory, orientation manual, etc.).

• Obtain and edit news items from all departments for inclusion in a monthly newsletter distributed electronically to Board Members.

• Update Raiser’s Edge to include board and committee meeting attendance, correspondence (email and written) from the CEO to the Board and other donors, and meetings that the CEO holds with Board members and other donors.

• Support key logistical/project management tasks such as facilities, banking, compliance, licensing, security, electronic filing, and tracking.

• Other duties as assigned. Create detailed logistical plans, monitoring performance against plan and making adjustments to plans based on actual results and enhancements as identified.

Required Qualifications In addition to the core competencies listed above, the successful candidate must demonstrate:

• A passion for creating opportunities for people with disabilities to reach their full potential and supporting them and their families.

• Strong computer skills including Microsoft Office (Outlook, PowerPoint, Word and Excel). Knowledge of or willingness to learn Raiser’s Edge, MS Project, and Adobe Acrobat Pro.

• Demonstrated meeting management skills including time and personnel management, ability to prioritize tasks, and strength taking accurate minutes and tracking follow up items.

• Excellent oral and written communications skills and attention to detail.

• Associate degree and at least 5 years’ experience, Bachelor’s Degree with 2 years’ of relevant experience, or comparable military service.
