$55,000 – $60,000 annually DOE + annual discretionary bonus

THE ROLE YOU WILL PLAY: Property Assistant

of commercial portfolio of R&D, industrial and office properties. Will work with a small team between 6-7 people.

Role and Responsibilities

• Generate and process service contracts, purchase orders, and work authorizations
• Generate and track tenant billable requests, ensuring appropriate approvals have been approved prior to processing
• Calculate any pass-through costs for after hour or above base building services for Assistant Property Manager’s approval
• Assist with maintaining audit files, maintain tenant lease files
• Oversee certificate of insurances for vendors and tenants and maintain tracking forms
• Assist with accounts receivables for tenants and update delinquency notes
• Prepare rent adjustments and tenant charge-backs
• Manage service requests
• Follow up on all service orders to ensure high tenant satisfaction
• Maintain keycard access systems
• Manage new vendor set up process
• Provide support to Assistant Property Manager, Property Manager and General Manager, as needed

• Level 1 Avid approval
• Ebix – tenant insurance compliant and current
• Checking /updating vendor insurance
• Filing reports in compliance folder on U-drive, i.e.:
  • Mo Pest control
  • Nightly security
  • Tenant/vendor contacts on emergency contact list
• Emailing rent statements
• Assist in compliance review
  • Updating emergency contact in SOP
  • Updating code compliance sheet
  • Updating vendor summary sheet & checking contract exp dates
• Completing & submitting new vendor request forms to help desk
• Tenant notices
• Manual PO’s/ Service contracts
• Coordinate meetings- Vendors/tenants
• Angus- add work order & set up PM’s
• RCA’s- CHB
• Aging- Run reports

BACKGROUND PROFILE: Property Assistant

Qualifications

• High school diploma required.
• Four-year degree is preferred.
• 1-3 years of real estate experience in commercial Property Management and/or Real Estate a plus.
• Must have the ability to multi-task and handle interruptions calmly and politely.
• Proficient with MS Office Suite, including Word, Excel and Outlook
• Experience with MRI a plus.
• Strong organizational, problem solving and analytical skills; able to manage priorities and workflow
