• Two years administrative experience working in an office environment or a minimum of an associate degree in business
• Working knowledge of office procedures and equipment
• Strong verbal and written communication skills with the ability to adapt communication style to a diverse audience
• Proficient in MS Outlook, Word, PowerPoint and Excel applications
• Familiarity with MS SharePoint 2010 a plus
• Experience with travel and meeting planning preferred
• Must be able to work in a fast paced environment and prioritize multiple assignments while meeting deadlines
• Must exercise good judgment and treat business data and personal information of employees as confidential
• Must be detail oriented with a high level of accuracy and good proofreading skills
• Must have a professional demeanor as well as strong customer service and interpersonal skills
• Travel Coordination
• Process Travel Authorization forms
• Make air/lodging/transportation reservations
• Process passport/visa applications

Meeting Planning and Coordination

• Includes set up of meeting room and notices, equipment, catering for on site/off site meetings and events
• Coordinate trainings, as requested by management team
• Organize PDS Engineering Events
• Assist with preparation of meeting handouts/materials
• Coordinate lunch tickets for meetings, as needed
• Participate in meetings (meeting minutes if needed), coordinate and track assigned topics

Onboarding

• Coordinate new hire on boarding meeting schedule for department orientation and functional overviews
• Coordinate PDS seating with HR manager
• Cubicle set-up, i.e., nameplate, phone set-up, desk supplies, etc.
• Start access for and coordinate with Manager and IT for all necessary software (use Cornea)
• Order and coordinate business cards
• Timesheet process

Point of Contact for Shared Services

• Shipping/receiving, including coordination of mailbox requests with Facilities
• Update employee distribution listings

Equipment

• Point of contact for copier repair and training
• Work with Facilities to maintain supply stock for copiers (paper, toner, etc.)
• Manage projector use schedule

Supplies

• Maintain stock supplies for PDS including stationery/envelopes, etc. and place special orders
• Order office supplies

Support for the Engineering Department

• Update & manage training matrix
• Update & manage Engineering SharePoint links, as needed
• Regularly update and maintain Engineering Org Charts
• Maintain and organize regular communication to global engineering community
• Regularly update global distribution list
• Coordinate and organize IT & Communication equipment for the workforce/facility as needed
