Job description
We are a boutique financial services firm located in downtown Vancouver specializing in business continuity, estate maximization and legacy planning utilizing life insurance strategies. Our growing firm is looking for someone who is a team player, personable, motivated and ready to take on a new challenge.
FIRST PRIORITY OBJECTIVES:
Support Financial Planner in the following ways:
– Schedule 6-8 client meetings each per week
– Schedule 1 Center of Influence meeting each per week
– Maintain a tracking and follow-up system
-Provide daily and weekly communication with advisor
-Manage calendar
-Assist with file preparation for all client meetings
-Focus on cost effective use of time, technology and resources
-Communicate with clients professionally by email and phone
-Prepare client engagement and non-disclosure forms
ADMINISTRATIVE DUTIES:
– Make restaurant and boardroom reservations when necessary
– Update CE credits
– Renew life insurance licenses and memberships
– Renew Errors and Omission coverage
– Maintain up-to-date and accurate files of hard copy documents and correspondence
– Sort all credit card receipts and submit expense report
-Deal with advisor’s IT issues
-Ensure all appointments and emails are tracked in the CRM
-Update all contact records in the CRM
General Administrative Duties
– Order all office supplies/retrieve mail/scanning/filing
– Other duties as assigned (e.g. ordering floral arrangements, coffee runs)
MARKETING SUPPORT:
– Plan periodic seminars with presentations on corporate-related insurance or investment planning
– Secure and organize suitable event locations
– Prepare and manage guest invitations & confirmations
– Send out Christmas cards, birthday cards, bereavements cards and calendars
– Mass mailings (Blog post and other articles)
TRAVEL ARRANGEMENTS:
– Coordinate all travel arrangements including flights, car rentals and accommodations
– Manage any changes made to travel plans
– Prepare travel itinerary and confirm all travel details in writing
– Coordinate conference/workshops/meetings while advisors are travelling
-Register advisors for all relevant conferences
INTERPERSONAL & LEADERSHIP DEVELOPMENT:
-Know key contacts and apply appropriate protocols when communicating with these key persons
– Develop relationships with management and administrative staff
– Contribute to organizational teamwork by working collaboratively with staff and communicating openly
MEETING SUPPORT:
– Assist Sales Support with the compilation of life insurance and investment reporting
– Ensure meeting agendas and any supporting materials are well-prepared
– Help design PowerPoint presentations for client meetings
