Church Administrator Job Description

Hours:

The Church Administrator position will be, on average, 20 hours a week, generally from 10:00 am to 2:00 pm Monday through Friday. The office location is 461 Orange Avenue, Los Altos, CA. There will be flexibility for remote work when appropriate.

Responsibilities:

Administrative Support

• Provide administrative support to church staff:

Two Ministers, Children’s & Youth Program Director, Social Media & Web Manager, Music Director, Bell Choir Director

• Provide administrative support to volunteers (committee members) as needed
• Help schedule volunteer scripture readers, coffee servers, snack servers, deacons, ushers, and greeters
• Schedule Zoom meetings and send reminders
• Download Sunday service recording and upload to Google Drive
• Maintain comprehensive calendars (all church activities and renters) in Microsoft Outlook
• Serve as the point of contact for scheduling and use of church facilities for regular church meetings, renters, weddings and special services
• Update and print the church bulletin for Sunday worship services
• Print and copy documents as needed
• Attend staff meetings; record minutes in Google Drive, share with staff
• Make new name tags as requested
• General tech help for church members and staff
• Maintain the office equipment
• General help to church members

Communication: Work with Ministers, Social Media & Web Manager, Moderator, Treasurer, Diaconate and Church Boards to administer internal and external communication/correspondence for the church via phone or email

• Use Constant Contact to send announcements, reminders, and monthly newsletter
• Prepare and send weekly email newsletter via Constant Contact
• Read, distribute, and respond to church mail as appropriate
• Contact church members and boards regarding meetings, church policies and procedures as requested
• Respond to inquiries from the public and city or other public officials, or route inquiries to the appropriate officer or board

. Documentation and Record-Keeping

• Record Sunday attendance of Zoom and in-person participants
• Maintain the church directory that is available to all members and friends of the church, including phone numbers, email addresses, and mailing addresses
• Maintain the church membership database, including baptism, death and marriage records
• Maintain the minutes archive for Executive Council and Annual Meetings
• Publish the church Annual Report
• Manage the church Zoom accounts
• Maintain renter contracts and files

Facilities

• Advise the Property Management Board of concerns about facilities and grounds
• Make arrangements for church facility use by outside groups for recitals, concerts or other special events.
• Make sure that Certificate of Liability insurance and payments are received
• Order and maintain supplies as requested by church boards or Sexton.
• Take out and bring in organic and recycle bins each week
• Obtain emergency services if necessary

Human Resources

• Run payroll for church employees
• Prepare paperwork for new hires
• Maintain personnel files

Job Type: Part-time

Pay: $30.00 – $40.00 per hour

Schedule:

• 4 hour shift

Experience:

• Microsoft Office: 5 years (Preferred)
• Administrative experience: 5 years (Preferred)
