Responsibilities:

• Answer phones from clients and potential new clients
• Collect intake information for potential Matrimonial, Estate Planning, Real Estate and Employment matters
• Keep calendar up to date and scheduling of meetings for attorneys
• Monitor email
• Check voicemail
• Meet and greet existing/new clients
• Open and distribute mail
• Make copies of incoming checks from clients for the files and post payment to Timeslips
• Check vendor invoices and provide to bookkeeper
• Set up new client files and billing files
• Provide accounting support as entering time in Timeslips for client billing and generating invoices to be mailed or emailed to the client
• Process credit card payments
• Purchase office supplies
• Draft of form documents, discovery documents, and letters

Requirements:

• 2+ years of work experience
• Prior administrative experience
• Strong phone skills
• Solid computer skills (Word/Excel)
• Billing software experience a plus
• Excellent organizational skills
• Demonstrable attention to detail
• Ability to work onsite, 10 hours weekly (up to 15 hours as needed)
