PERSONAL ASSISTANT & RESIDENCE ADMINISTRATOR

Charlottesville, VA area household (“the employer”) seeks to hire a Personal Assistant & Residence Administrator (“PARA”)to provide top level personal, administrative and project support to the employer (and the family at large) by facilitating daily operations, simplifying household- and property-related processes, and enhancing overall efficiencies at her Charlottesville area property. The employer is undertaking a major renovation and re-envisioning of a classic Virginia property which will be a multi-year project. The ideal candidate will possess prior experience as a private personal assistant or house manager and may possess experience in project management, design (interior and/or exterior), and landscape/gardens (whether by training or self-taught) and demonstrate a creative, flexible vision. Duties: The successful candidate will perform the following duties with relaxed professionalism:

• Perform bookkeeping services (e.g., bill pay preparations, bank reconciliations, etc.) and maintain vendor files for personal and household expenses.

• Maintain and manage the centralized home office.

• Place, answer, and screen incoming communications (phone, text, email).

• Receive, open, and sort incoming mail, electronic communications.

• Maintain and coordinate personal and property calendars at the direction of the employer to include prioritizing and scheduling meetings and appointments (e.g., autos, veterinary, health and wellness, activities).

• Draft confidential correspondence (business and personal) as requested.

• Plan and coordinate travel as requested (i.e., research and or booking reservations, accommodations, itineraries).

• Errand running, light housekeeping, grocery shopping, occasional driving and other administrative tasks. Possible gardening and/or cooking, dependent on skills.

• Provide property management services for the residence, grounds, and surrounding structures to include routine and/or extraordinary interior and exterior maintenance and the coordination of staff where present.

Work Schedule and Location

The PARA will be based in the residence office on the employer’s farm located 15 minutes from Pantops in the Keswick area.

Often the PARA’s work week will resemble that of a traditional work week, though there is flexibility. The employer may contact the PARA outside regular work hours in the case of an emergency or unusual circumstance; however, the employer indeed recognizes the PARA’s needs, as well. Flexibility of work schedule is inherent in the position and it is the hope of the employer that the reciprocal flexibility will prove to be a unique and attractive component from the perspective of interested candidates.

Skills, Personal Attributes & Qualifications

To ensure the PARA will be challenged but not overwhelmed with the role expectations, the successful candidate will possess many or all the following skills, personal attributes and qualifications:

• Excellent written and oral communication skills.

• Demonstrated bookkeeping experience.

• Basic computing skills and experience with standard technology (e.g.,fax, scan, copy, calculate)

• Ability to work independently and as part of a team.

• Ability to respond to situations with creativity, resourcefulness, adaptability, and discretion.

• Attention to detail and keen eye for design

• Organized and proactive.

• Intuitive and able to manage, oversee, and anticipate needs and tasks.

• Mature, discreet, and honest (about self and capacities).

• Gracious, polite, and thoughtful.

• Must LOVE dogs. Employer’s dogs are an integral part of daily life and participating in their care is crucial.

• 3-5 years serving in an Executive Assistant and/or House Manager capacity(preferred)

• 3-5 years working in Private Residence (preferred)

• College degree (preferred)

• Vaccinated and willing to keep boosted (required)

• Drivers License and clean driving record(required)

• Must be legal to work in US (required)

• Valid Passport (preferred)

Salary & Employment Benefits

• Anticipated full-time starting salary of $60,000 to $95,000, commensurate with experience and qualifications

• Health and/or other insurance benefits to be determined in consultation with candidate

• 5 weeks paid time off (to include sick days)

• Some travel may be required or offered
