FTI Consulting, Inc Hiring for Executive Assistant Job at Dublin , Ireland Full Time

We are seeking an EA with exceptional all-round skills to support 3 Senior Managing Directors (SMDs) and their team. This role is suited to someone who enjoys a full, challenging and varied day with a strong team ethos and can-do attitude. The role may require overtime as needed, sometimes at short notice.

Key Responsibilities:

• Diary management for the SMD’s , including scheduling of internal and external meetings, calls and associated administration to ensure these are properly organised
• Extensive email management for the SMD’s
• Organising complex travel itineraries for both international and local travel for the team
• Preparation of reports, proposals, presentations using Word and PowerPoint ensuring formatting is in line with company templates and standards
• Submission of timesheets and expenses
• Maintaining contact database via a CRM database – Salesforce
• Preparing and collating internal and external documentation, ensuring formatting is in line with company templates and standards using Word, PowerPoint, Excel and Outlook
• Managing contacts on Outlook, maintaining the relationships and communications as required
• Events management for both internal team events and for corporate entertainment
• General admin and secretarial support to the team where necessary
• Responsible for raising draft invoices and liaising with the business to improve accuracy to reduce manual amendments during the billing phase.
• Finalisation of client invoices once approved by client facing team members.
• Perform write offs, rate changes, narrative amendments, credit notes where applicable.
• Ensure the billing/invoicing month end close process is completed timely and accurately.
• Document billing/invoicing internal controls and procedures where necessary.

Skills and Competencies:

• Ability to prioritise workload and to deal with multiple parties and requests
• Ability to communicate with tact and diplomacy, both verbally and in writing with all levels of the organisation
• Ability to work under time pressure and be available as needed
• Strong attention to detail with strong organisational skills
• Strong interpersonal skills required to maintain collaborative working environment
• Strong team player
• Proven ability to work with limited direction
• Ability to handle confidential issues with utmost sensitivity
• Strong levels of discretion and integrity
• Advanced proficiency in Microsoft Office suite (Excel, Work, Outlook, PowerPoint)
• Knowledge of Salesforce advantageous

Experience:

• Demonstrable Executive Assistant experience supporting senior management and a wider team
• Events management and/or project management experience
• Experience of working with a professional services environment advantageous
• Experience with client interface and understanding of client relationships
• Experience dealing with international time zones

Qualifications:

• Bachelor’s degree (or equivalent) advantageous
• PA/Secretarial qualification advantageous
