The IP Paralegal role works closely with patent attorneys and agents who manage the company’s IP portfolio to help establish, document and continually improve internal portfolio management protocols and tools.
The IP Paralegal is responsible for administering the Company’s IP portfolio docketing processes, including ensuring the accuracy of the Company’s IP management system (Anaqua®), and tracking completion of portfolio management tasks both internally and externally.
Supports execution of tasks assigned by patent attorneys/agents relating to the implementation of the Company’s IP strategies, including preparing and distributing the minutes of the IP Evaluation Boards (IPEBs), entering IPEB decisions into the Company’s IP management system, engaging and instructing outside counsel, submitting defensive publications, implementing trade secret protection protocols, and carrying out maintenance/drop actions for existing portfolio assets.
Receives and processes incoming correspondence from outside counsel and patent offices.
Organizes and manages IP dockets relative to filing deadlines, including communicating workflows to attorneys, inventors, and other stakeholders.
Organizes IP files, agreements, and other operational documents.
Liaises with and supports internal IP clients and external stakeholders as needed regarding calendaring, docket transfers, and other case management needs, as well as Company-wide initiatives and tasks.
Assesses compliance by outside counsel with applicable engagement requirements.
Prepares and files documents with relevant government agencies in support of new patent applications prepared in-house.
Administers the Company’s inventor award program, including ensuring compliance with Company policies and applicable regulations in multiple countries.
Supports the IP asset development and disputes function, including offensive and defensive proceedings – including tracking of progress and deadlines for Oppositions (EU), creating conflict records in the Company’s IP management system, and docketing and uploading associated documents.
Supports the attorney team in performing budget tracking and forecasting for dispute proceedings and related matters, including invoice review and addressing deviations from budget.
Assists in drafting legal and other documents and correspondence.
Manages compliance with terms and conditions of contracts, including overseeing adherence to government reporting requirements.
Trains, mentors, monitors and assists with the management and supervision of IP Legal Assistants and contingent workers.
Supports other programs and projects, as they arise.
Qualifications / Requirements
Bachelor’s degree from an accredited university or college (or a high school diploma / GED with at least 6 years of experience in IP.
Minimum of 2 years of work experience, specifically in patent prosecution.
Minimum 5 years working with Microsoft Office (Word, PowerPoint, Excel), and an aptitude for learning other computer applications.
Thorough knowledge of United States Patent & Trademark Office (USPTO) forms, rules, filing processes and portals, and procedures is required, and at least a basic understanding of foreign patent prosecution procedures is strongly preferred.
Experience with best practices for docketing and protection of Intellectual Property rights, including use of patent docketing applications and systems. Experience and familiarity with the Anaqua® corporate IP management system is strongly preferred.

This role is restricted to U.S. persons (i.e., U.S. citizens, permanent residents, and other protected individuals under the Immigration and Naturalization Act, 8 U.S.C. 1324b(a)(3)) due to access to export-controlled technology. GE will require proof of status prior to employment.
