As amember of the Finance team, the Accounts Payable Specialist will be responsible for full cycle accounts payable, including processing invoices for operations in Canada and the U.S., playing a key role in month-end close processes, producing timely reports and participating in special projects. The Accounts Payable Specialist will also have an opportunity to play an active role in continually establishing and improving internal processes within the department.
The successful candidate will have hands-on knowledge of processing high-volume vendor invoices, advanced capabilities in compiling data sets using Excel and excellent communication skills. The ideal candidate will also be a persistent self-starter with exceptional relationship-building skills to collaborate with various internal and external stakeholders.
Job Responsibilities
Process vendor invoices and obtain approvals according to internal controls and policies
Investigate and resolve invoice discrepancies and issues internally and with vendors
Post transactions to the accounting system in the appropriate categories based on the chart of accounts, departments, locations, entities, and other categories as applicable
Prepare weekly payment proposal based on agreed-upon terms with vendors
Set up EFT, wire, and interac e-transfer payments
Reconcile bank accounts and vendor statements in a timely manner to assist with month-end closing procedures
Track expenses and process expense reports
Prepare weekly/monthly/ad hoc reports and analyses
Respond to and resolve vendor enquiries in a timely manner
Maintain vendor files and accurate documentation for internal and external requirements
Participate in various tasks, projects and process improvement initiatives, as assigned
Must Haves:
Post-secondary education in a related field and/or Certificate in Accounting, Bookkeeping
2-3 years experience full-cycle accounts payable and processing high volume AP transactions
Strong customer service, communication, critical thinking and analytical problem-solving skills
Exceptional time management skills with the ability to prioritize and manage multiple tasks under tight deadlines
Excellent organizational and records management skills with impeccable attention to detail and accuracy.
Collaborative and excellent team player with demonstrated ability to work within a team
Effective oral and written communication skills to partner with internal and external stakeholders
Strong aptitude in leveraging technology to simplify internal processes, minimize manual work and limit delays in processing
Demonstrated ability to deliver results independently and while working with a team in a highly fast-paced, high-growth environment.
Proficient in MS Office tools, including advanced Excel skills (i.e. lookup functions, pivot tables, sorting large, unstructured data sets and deriving formula)
Previous experience working in NetSuite and various expense management tool is a strong asset
Multicurrency collections experience is an asset
Working knowledge of multi-provincial sales tax rules and regulations in Canada
Working knowledge of US sales tax across multiple jurisdictions is an asset
