SUMMARY OF POSITION:

Represents the agency in a professional manner as a first point of contact by receiving telephone calls and visitors to the facility. Determines the nature of the call or visit and directs to the proper person or department. Typing, recording, filing and other clerical duties may be assigned.
ESSENTIAL RESPONSIBILITIES AND DUTIES:

• Prepares for the day; turn on TV’s, turn on hallway copier, and unlock front doors.
• Answer incoming telephone calls within two rings and screening and forwarding incoming phone calls; Take messages as needed. Clearly determine the purpose of the call and deal with queries and provide correct information
• Check voicemail and return calls and forward messages as needed
• Greet visitors directing them to appropriate person or department in a fast-paced environment
• Ensure back up when absent from reception desk
• Maintain Conference Room Schedule in book and outlook calendar.
• Maintains telecommunication system by following manufacturer’s instructions for phone and console operation.
• Maintains safe and clean reception area by complying with procedures, rules, and regulations.
• Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
• Inform other employees of visitors’ arrivals or cancellations
• Answer inquiries about agency.
• Process and sort interoffice mail and place into appropriate mailboxes.
• Forward customer complaints to appropriate Supervisor or Director.
• Work independently with minimal supervision
• Ability to prioritize activities
• Type letters, reports, forms, etc., as assigned by supervisor
• Maintains All Staff Directory and updates it as necessary.
• Perform all duties courteously and efficiently
• Sort, log and distribute incoming U.S. mail daily
• Log outgoing mail and affix appropriate postage.
• Make there is an appropriate amount of funds on the postage meter.
• Data entry as required
• Maintains copier and fax machines
• Files paperwork as necessary
• Prepare reports as requested
• Fax, Photocopy, and Scan as necessary.
• Adheres to and enforces safety and loss prevention procedures to prevent injury to personnel and damage to property, equipment and inventory

• Contribute to the fulfillment of department and agency objectives and goals.
• Comply with all department and agency policies, procedures and regulations.
• Perform other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

• High School Diploma or GED certificate of completion
• Type at least 40 wpm
• Knowledgeable of computers and use of Word and Excel
• Legible handwriting and some math ability
• Able to hear and speak clearly to be understood by all callers and visitors
• Courteous, friendly and professional telephone manners

Preferred

• Six (6) months receptionist experience
• Bilingual

PHYSICAL FUNCTIONS:

• Primarily works in an office setting
• Must be able to perform physical requirements of the position including but not limited to: inside sedentary work; able to lift 25 pounds
• Ability to sit for long periods of time
