Executive Administrative Assistant Job Ad January 2022
The Advocate for Children and Youth is an independent officer of the Legislative Assembly of Saskatchewan and is non-partisan, objective, and independent of the government of the day. The office engages in advocacy, investigations, and public education and undertakes research on behalf of children and youth in the Province of Saskatchewan.
Reporting to the Manager, Finance and Administration, the Executive Assistant is responsible for ensuring all executive administrative functions for the Advocate for Children and Youth Office are conducted in a timely and fair manner and in accordance with both the Advocate for Children and Youth Act, 2012 and the SACY’s Foundational Principles: Saskatchewan Children and Youth First Principles, the United Nations Convention on the Rights of the Child, the United Nations Declaration on the Rights of Indigenous Peoples, and Touchstones of Hope. This position is responsible to manage all administrative activities relating to the Advocate as the permanent head, and to ensure management of the Advocate’s schedule (as required) on a day-to-day basis. This position takes a diplomatic and non-adversarial approach.
Typically, this position requires a diploma in business or office administration or an equivalent combination of education, training, and experience at the executive level. To qualify, you will possess the knowledge, skills, and abilities commensurate with the responsibilities of this position as demonstrated in your application. This position is based in Saskatoon.
You will bring:
Knowledge of the Advocate for Children and Youth Act, 2012, the Advocate’s jurisdiction, and governments that serve children and youth;
Knowledge of effective administrative management processes, practices, and procedures;
Knowledge of basic financial accounting principles and practices;
Demonstrated ability to lead and manage all executive administrative functions and support including the management and organization of the Advocate’s electronic calendars, compilation of background materials, information sharing, and arranging, coordinating and scheduling meetings, presentations, special events, and conferences on a priority basis;
Ability to review, edit and prepare documentation to finality, such as correspondence, position papers, public reports, and budget submissions while ensuring consistency, accuracy, and confidentiality;
Experience in coordinating and scheduling travel and accommodations and developing itineraries;
A high level of organizational skill, with the ability to prioritize workloads and make independent decisions within existing policy, protocols, and procedures;
Demonstrated ability to provide executive administrative support and process expertise to office staff, including the preparation of meeting agendas, taking minutes, coordinating, and purchasing office equipment, and assisting with event planning and media conferences;
Ability to effectively communicate and build strong, productive working relationships with numerous stakeholders, including senior staff in various government ministries, other independent offices in Saskatchewan and national counterparts, non-government agencies and other public bodies;
Leadership strengths that promote inclusion, engagement, and foster a collaborative and positive work environment;
Experience in processing invoices, expense claims, and travel expenses;
Experience in managing and maintaining office space, equipment, and vehicles;
Experience with information management systems.
