Who We Are
The Strategic Systems and Innovation Branch provides direction in information management and the use of technology (IM/IT) to support business strategies and enable strategic priorities. We serve both the Ministry of Corrections and Policing and the Ministry of Justice and Attorney General. Our branch employs individuals who can fill a role within the increasingly dynamic nature of program delivery in the public sector.
The Opportunity
We are seeking a well-rounded professional to join us in a one-year term position as a Project Administrator in Regina to work on the J-STAR Project.
J-STAR went live in August 2020 and is a major strategic initiative for the Ministry of Justice and Attorney General. The Saskatchewan Court of Queen’s Bench J-STAR program is a provincial scheduling and court tracking database. This undertaking was a multi-phased business and technology transformation and replaced the existing judicial scheduling and case tracking processes within the nine judicial centres around the province. The new system contributes to the efforts to reduce time to trial and sentencing in the Court of Queen’s Bench by allowing a more efficient method of scheduling judicial and court resources. Phase II is currently in the planning phase. It will allow J-STAR public access and payments to be made online by residents of Saskatchewan and legal stakeholders.
This position will be of interest to an individual with a background in project administration who is highly organized with excellent communication skills, and who thrives on playing a contributing role in the delivery of critical projects. The successful candidate will be a positive, energetic, proactive, hardworking individual that thrives in a complex, fast-moving, and innovative environment.
The Ideal Candidate
Our successful candidate will work with multi-ministry/multi-organization teams tasked with implementing solutions to systemic challenges which have impact on the access to the justice system and processes. You will have:
Knowledge of:
SharePoint administration and management.
Administrative expertise and tools to assist with task planning and organization.
Project management activities and processes.
Project management tools and computer software, specifically Microsoft Office.
Demonstrated ability to:
Provide administrative support to projects as required, including:
Preparing and distributing communications, project documents, meeting materials.
Documentation and file management.
Planning and arranging logistics for project events and meetings.
Creating and delivering presentations to project team/stakeholders; and,
Managing travel arrangements.
Assist with project schedule administration, tracking and analysis, including:
Ensuring accurate schedule records are maintained.
Assisting with preparation of the project schedule reporting; and,
Assisting in resolution of scheduling issues.
Assist with project budget administration, tracking and analysis, including:
Responsibility for purchase credit card.
Providing backup and support for all tracking, updating, and reporting of project budget; and,
Providing approvals for project invoices, resolving discrepancies and reconciliation of budget.
Provide back up to the Project Manager during absence; and,
Provide support for User Acceptance Testing activities.
Typically, the knowledge, skills and abilities required to be successful in this position would have been obtained through:
Demonstrated experience as a practicing Program or Project Administrator.
Administrative support experience; or,
Demonstrated planning and coordination experience.
Experience working within justice or human services, familiarity with the Government of Saskatchewan, or a comparable entity, technical and business landscape is considered an asset.
