Position: Mail Production Operations Specialist

Location: Raleigh, NC

Experience: 6 months’ minimum experience in an office environment required; Experience in mailroom operations and equipment is preferred but not required

Education: High School diploma or equivalent; Some college preferred

Type: Full-time; Contract

Schedule: Monday – Friday, 8:15am – 4:30pm

Pay: $18/hr

Greene Resources is seeking a Mail Production Operations Specialist to join a growing and dynamic team! This position performs a variety of duties which supports the workload in Inbound Mail Services to ensure that all mail is sorted, opened and prepped, scanned and processed on a day-to-day basis.

This individual handles the processing of fee instruments processed through the Registration Console and reconciles bank deposit. A credit check will be required for this role.

Job Description:

• Operate and perform daily maintenance on Agissar Mail opening equipment, IBML high speed document scanner and Omation letter opener
• Perform Executive Sort of all USPS mail received daily. Ability to appropriately direct internal sorting of all mail according to our client’s PO Boxes and directory of staff
• Provide an accurate count of all certified mail, DHL, FED EX or UPS mail received daily and distributes it accordingly to staff/departments
• Utilize mail tracking software to ensure that all certified mail is properly recorded and/or delivered
• Demonstrate customer service skills by interacting with personnel delivering work daily to the vestibule window for scanning; routing and batch number emails
• Collate work to be scanned by extracting contents and organizing them by batch types designating for scanning
• Access to confidential information as documents received for processing contain fee instruments
• Must obtain knowledge of all client’s Registration form names and identify them when prepping to ensure accurate prepping order of documents
• Perform bi-weekly purge of scanned documents based on system generated reports
• Scan all prepared work on IBML scanner. Assemble and label batches for filing
• Complete research on Old Dog Microfilm Requests and Club Archival requests
• Operate microfilm retrieval equipment for internal microfilm requests
• Prepare daily bank deposit for organization and all reports associated with bank deposit. Locate deposit errors and act on them accordingly
• Perform corrections to scanned images in Batch Fix and researches additional documents in the Registration Console
• Create letters to external customers for returning documents or invalid fee instruments
• Research and correct scanning errors through Registration Console

Position Requirements:

• MUST HAVE 10-Key experience and will need to take 10 key typing test during the in-person interview
• Ability to lift 50lbs and comfortable working in a stockroom
• Attention to detail (very fast paced environment)
• Great time management skills
• 10 keying and Data entry (entering checks into a system)
• Experience with Excel and Word
