We are seeking a responsible and professional Staff Assistant for a local industrial client. This individual will be working at the client’s site and will be responsible for various administrative tasks as outlined below for the site, working in the Planning & Economics (P&E) Department.
Candidates must be able to pass a graded background screen and pre-employment drug & alcohol screen.
RESPONSIBILITIES:
· Provide administrative assistance to the Planning & Economics Department
· Provide data gathering and verification for all material movements between the client’s site and their joint-ventures
· Assist Yield Supervisor with mass balance data prep work
· Perform all data gathering, paperwork filing and data entry into the mass balance system
· Work with the Loss Control and Custody Transfer Meter Specialist to have all PAR marine movements confirmed.
· Assist FTZ with preparation of support documentation related to the client’s site and their joint-ventures.
· Update the Propane distribution spreadsheet and email to distribution list
· Prepare and distribute the monthly Dock Shipments/Receipts and pipeline Shipment/Receipts reports
· Provide vacation relief for positions within the FTZ and Yield Group
· Provide support for assigned tasks as directed by Yield Supervisor
· Coordinate/organize meetings: distribute meeting invitations, reserve conference rooms. Order meals for P&E Department upon request.
· Coordinate travel arrangements, as requested and prepare/submit expense reports
· Order supplies for P&E Group (office supplies and warehouse-issued items)
· Create purchase requisitions using SAP, as needed
· Maintain department copier needs (service requests, paper inventory, toner inventory, etc.)
· Ensure client site quality and safety initiatives are carried out in daily activities
QUALIFICATIONS/EXPERIENCE REQUIRED
· High School Graduate with a minimum of 5+ years administrative and/or clerical data entry experience.
· Ability to rapidly enter large volumes of data with a high level of accuracy.
· Experience in shipping and receiving.
· Excellent communication and interpersonal skills.
· Experience with Microsoft Office products. High level of proficiency and experience with Excel.
· Flexibility of work schedule around deadlines. Occasional night or weekend work, as needed, based on month-end close periods.
