Your day-to-day may look like:

• Support Office Manager and fellow employees by performing a wide variety of administrative tasks in a timely manner.
• Work within the framework of ever-changing priorities and demands.
• Manage all front desk related tasks: main office phone management, multiple boardroom calendars, incoming/outgoing mail, support Office Manager, monthly lunches and catered events.
• Collaborate with & support all levels of Hall Group of Companies including branches in Vancouver, Edmonton, Kelowna and on Vancouver Island.
• Monitor office supply inventory levels and place orders as required weekly.
• Assist with the management of Hall promotional items inventory and distribution.
• Receive, screen and direct all incoming calls and emails.

Preferred Qualifications:

Education & Experience:

• Administrative certificate and/or diploma
• Minimum 2-5 years experience as an Office Administrator
• Construction industry experience is considered an asset
• Successful track record of previous work experience

Preferred Technical Skills:

• Prepare, review, and modify general templates, letters, Word documents and Excel workbooks.

• Monitor visitor check-ins/outs on The Receptionist, Airtable and Trello (cloud based software).

• Create, maintain, and update spreadsheets for Hall Family of Companies.
• Maintain electronic and paper filing systems.
• Photocopy and scan documents as required.
• Strong written and verbal communication skills.
• Contribute to the development of new ideas and approaches to improve work processes.
• Develop a thorough understanding of internal programs in a courteous and professional manner and processes.
• Greet, assist, and direct all visitors in a friendly, professional manner.
• Sort and distribute incoming and outgoing mail and couriers from across Canada and the USA.
• First Aid certified in CPR/AED Level C an asset.
