Job Summary
The Payroll Services Coordinator serves as the primary contact supporting FAS Departments and Centers for payroll processing, while ensuring compliance with Harvard University internal controls.
Position Description
As an active member of a high-performing payroll team, acts as primary customer service contact to assigned departments; works closely with team members to analyze and resolve data and pay discrepancies. Serves as the payroll expert for assigned departments for all payrolls including faculty, internal and external post-doctorates, teaching assistants, teaching fellows/research assistants, house tutors, staff exempt and non-exempt and temporary. Proactively monitors and resolves issues with employee pay errors including Time & Labor and Absence Management as well as data errors; processes and monitors all payrolls and off-cycle check requests; acts as an interface between Aurora (FAS payroll system), and PeopleSoft (central payroll system); FAS subject matter expert for the Aurora team, assigned departments, Finance, HR, Academic Affairs, Administrative Operations, and Central Payroll. Calculates correct pay based on employee data changes and produces payroll forms; researches and resolves payroll action issues. Reviews, analyzes, and reconciles reports to ensure that employee data actions have been completed accurately and proactively troubleshoots potential issues with pay for assigned payrolls and departments. Serves as backup to other team members and performs uploads and batch duties as required and ensures that documented Payroll Key Controls are followed. Generates and analyzes standard and ad hoc reports for all payrolls.
Basic Qualifications
- Associate’s Degree or equivalent work experience.
- At least six years’ work experience if no degree.
- At least five years technical knowledge of financial/payroll accounting and experience with multiple types of payrolls (i.e. weekly, bi-weekly, monthly, off-cycle).
Additional Qualifications and Skills
PeopleSoft or another Payroll/HR processing payroll processing system experience preferred. BA/BS with coursework in accounting desirable. Ability to work constructively within team environment as well as collaboratively across functions. Organization and communication skills; analytical and problem-solving skills; Ability to handle highly confidential information with discretion and professionalism.
